West Virginia University Libraries is seeking applications for a Library Associate. This position is responsible for ordering, receiving, processing and maintaining print continuing resources, both physically and in the library's online management system. This position also serves as the Student Assistant Supervisor as well as coordinating bindery workflows and shipments.
In order to be successful in this position, the ideal candidate will:
Coordinate monograph and serial bindery activities for all library branch locations for all WVU-Morgantown libraries.
Perform minor repairs on items otherwise destined for binding.
Maintain records in library system for continuing resources for various branches of the WVU Libraries; includes making location changes and withdrawing records from the library system.
Physically processes continuing resources to be distributed to the appropriate access service locations.
Create purchase orders and invoices in the library management system for print continuing resources. Verifies vendor, funds used/available, and price information.
Receive and upload files from vendors that provide the library with EDI invoices.
Maintain invoices as advised by the library’s business office in compliance with University requirements.
Hire, supervise, train, and direct student employees on day-to-day operations as well as projects.
Prepare student schedules and maintain student online time sheets, monitor allocated funds for the Federal Work Study program or department funds allocated for student employees.
Responsible for all aspects of the hiring process for student workers, including advertising the jobs for the unit on the online website of the WVU Office of Student Employment and working with the Manager and Systems to get the students access to the ILS and printers.
Maintain monthly statistics and provide them to the Manager of the unit.
Provide quarterly and yearly information on ordering and receiving processes and projects.
Participate in departmental and library wide meetings and training sessions.
Identify and participate in training opportunities specific to the role.
Provide support to other staff members in the unit to assist in completions of unusually heavy workloads at various points in the year.
Update staff intranet and departmental documentation as needed.
Serve on appropriate interdepartmental committees as a KARM representative.
Work on other projects as assigned.
Pay Grade: 14
Bachelor's degree in a related field or an equivalent combination of education and experience.
Six months of experience working in an academic library
Six months of supervisory experience
Experience with OCLC or WMS preferred
Excellent interpersonal and customer service skills are required.
Strong organizational skills and ability to manage multiple ongoing projects.
Excellent computer skills. Must be proficient in the use of email, Microsoft Word and Microsoft Excel.
Strong oral and written communication skills and critical thinking skills.
Basic knowledge of bibliographic records.
Ability to work independently and use sound judgement.
Ability to work effectively and constructively in a team environment.
Ability to prioritize responsibilities, adapt to a rapidly changing automated work environment, and contribute new ideas and approaches as changes arise
