Provide clerical, project, and administrative support to the Community Resource Coordinator and the Staff Development Officer.
Essential Duties and Responsibilities:
Designs, maintains, and updates the volunteer/intern database. Requests and reports on background checks for volunteers. Arranges and tracks parking for volunteers and interns. Works with department contacts to tabulate volunteer timesheets and generates reports.
Generates and mails individual letters for employee recognition. Maintains service award records and prepares orders for service awards.
Prepares retirement certificates and maintains the inventory of watches.
Assists with Adopt-a-School Pen Pal program by recruiting volunteers, managing correspondence, taking photos, and distributing communications. Provides activities and distributes gifts and photos for students and employee pals at the Pen Pal Picnic. Helps distribute awards and refreshments at the school's Good Attendance Party.
Assists with special projects such as the United Way drive, food bank drive, blood drive, Employee Picnic, and Employee Appreciation Day by typing, copying, mailing notices, providing onsite assistance, performing data entry, and preparing and sending thank you letters to donors and participants.
Assists with collecting, reconciling, and depositing money for Community Resource projects and events.
Encourages participation in training courses by sharing class information, registering employees for classes including those on waitlists, and sending class reminders to enrollees.
Ensures training materials, rosters, and evaluations are prepared for classes.
Maintains records of training classes as required including CPR certification cards. Generates statistical reports relating to training activities and sends reports of training activity to departments as requested. Mails copies of rosters and evaluations to JPS Health for CPR classes.
Assists with maintaining the Staff Development video and printed materials library. Helps employees check out materials and tracks their return.
Assists with filing of applications and check requests for college tuition reimbursements. Monitors and maintains tuition reimbursement files including sending appropriate files for destruction.
Processes and releases requisitions for payment. Places orders for plaques and other materials as needed.
Answers inquiries from employees, other counties, and external entities as needed.
Creates memos, charts, graphs, tables, reports, announcements, invitations, court communications, and other documents as needed.
Serves as front desk receptionist for Human Resources department as needed. Answers telephone and takes messages for staff as appropriate. Administers typing test to job applicants as needed.
May participate in conducting new hire processing.
Manages parking tickets issued by Facilities for the County parking facilities.
Performs all other related duties as assigned.
- High school diploma or equivalent. Some college preferred.
- Three (3) years of administrative or secretarial experience.
- Personal computer skills with advanced word processing knowledge.
- Ability to maintain databases and use standard office equipment including, but not limited to, computer, typewriter, copier, camera, and multi-line phone system.
- Ability to learn and use computer programs including SAP, Adobe, MS Office, etc.
- Ability to work under pressure and within time constraints and multi-task.
- Must be extremely detailed in work product and have experience working with employees, the general public, and varied levels of management.
- Excellent oral and written communication skills are required.
- Must be able to type 45 wpm. *
- Must have access to and operate a vehicle and possess a valid and current drivers license.

Tarrant County will conduct background checks on new hires that will include a criminal background check related to convictions and deferred adjudications in the past seven years and may include credit reports, motor vehicle records, employment records and educational attainment. A conviction or deferred adjudication is not an automatic bar to employment. Each case is considered individually.

While performing the duties of this position, the incumbent is regularly required to bend, carry, climb ladders, climb stairs, hear, keyboard, kneel, lift below the waist, tolerate hot and cold outside temperatures, pull, push, reach, reach overhead, perform repetitive tasks, see color, see far and near, sit, squat, stand, stoop, talk, use his/her hands, drive a vehicle, walk, work alone and with others, and work overtime.
