A unique and exciting opportunity to be an Executive Assistant to the CEO of a luxury lifestyle media company.

Responsibilities may include but are not limited to:

  • Organizing an ever changing calendar and complex schedule including business and personal matters
  • Manage communications via phone messages and emails and respond to all in a timely manner
  • Act as a liaison between all departments that are necessary with everyday communications and tasks
  • Organize and maintain all confidential business and personal materials
  • Ensure CEO is prepared for & well informed of upcoming commitments & responsibilities with appropriate follow up
  • Perform necessary research for the CEO, keep contacts up to date and handy (Outlook), create and manage documents and presentations in Microsoft Word, Excel & PowerPoint. Professionalism is key as you will be dealing with high level executives
  • Arrange, confirm, and prepare for internal and external meetings, conference calls, day-to-day activities, to/from appointments
  • Manage and book travel itineraries
  • Occasionally assist with personal tasks
  • Procure office and household equipment, supplies and services as needed
  • Act as the primary gatekeeper and liaison for the CEO

Skills and requirements include:

  • 3 – 5 Years related experience supporting C-level executives
  • Bachelor's Degree required
  • Must exhibit excellent attention to detail and organizational skills
  • Strong written, interpersonal and communication skills – the person in this position will be communicating with staff, management, and clients
  • Resourceful, energetic, proactive
  • Excellent time management skills
  • Ability to take initiative and prioritize executive tasks, multi-tasking effectively
  • Proficiency in all areas of Microsoft Office and Mac OSX; must be tech savvy
  • Professional mindset and the utmost discretion
