Major/Essential Functions

All job functions listed below to be performed for the position(s) supported and the Office of the CIO.
Monitor the activities and needs of the position(s) supported.
Schedule meetings, prepare agendas and take meeting notes as necessary. Prepare for daily and recurring
meetings by compiling needed materials.
Help manage and maintain calendar(s) for the position(s) supported.
Interact professionally with all communications, all areas (phone, written or oral). Answer phones and take
messages. Communicate all messages (phone, written or oral) in a timely manner.
Maintain documentation and project management files and documents. May assist with project management
task follow-up and reporting.
Prepare reports, create spreadsheets, and other correspondence as needed. Assist others as needed, general
filing, and miscellaneous trouble-shooting.
Maintain confidential employee files, vacation and sick leave records.
Reconcile Procurement Card Statements.
Calculate, coordinate and make travel arrangements. Prepare travel applications/vouchers for the supported
position(s), and other TTU Office of the CIO & IT Division staff members as needed.
Prepare and track purchase orders. Process electronic receipt of received items.
Assist with preparation & organizing vendor demonstrations, meetings and events. Preparation includes but
not limited to set up, prepare coffee, light cleaning, opening & closing facilities. Organizing includes but not
limited to tabulating assessments results and preparation of findings as needed.
Assist in the TTU Office of the CIO with general tasks such as:
Distribute mail
Stock supplies
Clean
Make coffee
Open/Close Conference Room
Other office tasks
Other duties as assigned in support of the Office of the CIO, &/or assigned by the TTU CIO
Adheres to all appropriate Institutional policies (including IT Ops) and other relevant internal departmental policies

Required Qualifications

Completion of high school or the equivalent. Five years office experience. Additional education may substitute for experience on a year for year basis.

Preferred Qualifications

Strong customer service and communications skills-both oral and written. Ability to work well in a fast paced, team environment. Thorough knowledge of TTU administrative support issues. Strong organizational and task management skills. Knowledge and understanding of computer related terminology, and typing competency. Ability to independently collect and compile information.
Ability to perform mathematical calculations and/or verify information accurately.
Ability to deal effectively in contacts with people.
Experience with Microsoft Excel, PowerPoint, and Outlook.

Pay Statement

Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.
