Prepares/submits Purchase Orders (POs), Interdepartmental Vouchers (IVs), other required invoicing related to work orders/projects, & travel requests, in a timely manner for the department.
Performs personnel hiring actions including scheduling interviews, building interview folders, & completing appropriate onboard paperwork & electronic personnel action forms (ePAFs). Prepare & submit other personnel forms for the department as needed.
Maintains & monitors accounts (fops) on a daily, monthly, and annual basis. Assists with cost analysis, fiscal year expenditures’ analysis, allocations, and budget preparation.
Creates and maintains financial, personnel, and general reports, records, files, and spreadsheets in accordance with established standards.
Answers departmental telephones in a professional manner, provide excellent customer service, organize and facilitate meetings and conference calls.
Attends all training applicable to the position and stay abreast of current and required procedures with different departments on campus.
Processes outgoing mail, sort, and deliver incoming mail.
Helps maintain a departmental inventory of and requests for office supplies.
Performs other duties as assigned by supervisor or IT Division leadership.
Adheres to all appropriate Institutional policies (including IT OPs) and other relevant internal departmental policies.
Proficiency in written and mathematical processes that may be reflected by the completion of high school or the equivalent. Four years progressively responsible clerical experience, including one-year supervisory experience. Additional education and/or related experience to equal four years may substitute on a year for year basis.
Ability to organize work effectively. Ability to develop and maintain good relationships with coworkers, vendors, and other campus areas. Must be able to apply resources, procedures, and information for daily business operations, solutions, and other outcomes.
Proficiency in O365 applications including Outlook, Word, Excel, and PowerPoint.
Working knowledge managing files and records, designing forms, and other office procedures and terminology.
Understanding of TTU’s accounting system, HR system, travel system, and other essential systems and operating procedures.
