Learning Program Coordinator

Job Summary: The Learning Program Coordinator is responsible for performing administrative duties in support of Learning, Leadership and Change programs. Manage a variety of tasks on a daily basis with deadlines. Provide daily support and operation of the Wawa Conference Center meetings & events.

Principal Duties:
Partner with EdAssist to include traditional reimbursement, direct billing and certificate/certification programs. Manage account partnership with third party management system, EdAssist. Communicate program details and benefits through MyWawa and other communications channels. Develop and oversee process and requirements and reporting. Partner with Internal Care to communicate and celebrate associate graduations.
Develop and manage the Language Learning Program to include digital/mobile subscription, course reimbursement and pre-paid course programs. Administer subscription program through Busuu. Work cross functionally with Store Operations Directors to offer pre-paid courses. Track and report program usage.
Manage logistics of the Servant Leadership Development Program. Source and coordinate logistics with host location. Manage communication channels to attendees before, during and after program session. Provide administrative support to program process needs. Monitor performance of program and report on key metrics.
Serve as the primary partner for the Learning, Leadership and Change team administrative needs to include determining scope of request and develop processes to execute, manage logistics, printing, purchasing, vendor relations/negotiations and execution of various training initiatives. Source vendors and act as support for various activities such as conferences, materials distribution, conventions/seminars, program roll-outs and mass distribution (via Fulfillment Centers).
Develop and implement standards, procedures and communications to consistently improve the delivery and effectiveness of Wawa University programs.
Maintain corporate LMS records and databases by ensuring prompt input of Servsafe data into the LMS and Knowledgebase system. Maintain all Servsafe records in both hard copy and electronic format.
Monitor the departmental budgets (Wawa University, Store Spread and Learning & Development) for program coordination activities. Manage all aspects of SAP work including prepare purchase orders, approve and track internal and external invoicing and resolve discrepancies with A/P, as needed.
Provide logistical support to all Wawa University campuses through customer service, scheduling, planning, ordering, communication, building operations and other administrative requests.
Manage all logistics of Wawa Conference Center by providing meeting planning services to individuals arranging meetings including, determining room set-up, audio-visual requirements and purchase orders. Provide support and guidance for catering orders. Ensure all plans are implemented for exemplary meeting experiences. Respond to requests for service or support during events and meetings as needed.
Provide administrative and project support to other associates as needed.

Minimum Requirements

Basic Qualifications:
Associate’s degree in Business or a related discipline preferred
1-2 years of administrative experience
Strong PC skills including the Microsoft Office Suite
