Qualifications

REQUIRED QUALIFICATIONS
High School Diploma/GED and four years related experience that includes event/project management. Education/courses in a related field may substitute for some experience.
Highly professional.
Ability to work evenings, weekends, and at off-site locations as requested.
Strong written and verbal communication skills with knowledge of grammar, spelling and punctuation.
Demonstrate technical skills.
Demonstrate attention to detail.
Experience using MS Office.

PREFERRED QUALIFICATIONS
Strong attention to detail.
Solid understanding of Google applications and MS Office, including Word, Excel, and PowerPoint.
Experience using online course registration and/or course management systems, such as University of Minnesota LMS (Canvas), Qualtrics, and Destiny One Registration System.
Ability to multi-task priorities, be highly productive, meet deadlines, and work well under pressure.
Strong organizational, communication and interpersonal skills.
Comfortable and confident communicating with executives and senior leaders (verbal and written).

About the Job

POSITION DESCRIPTION

The Onsite Coordinator reports to the Associate Director of Design and Development. The Onsite Coordinator works closely with the Program Project Managers to help coordinate the delivery of custom and open enrollment programs for Executive Education. This position provides administrative support, general clerical support, materials management support as well as general program support. The position also works on special Executive Education projects as needed. The position may also provide program on-site assistance as needed.

JOB DESCRIPTION:
Administrative Program Support (70%)
Serve as the virtual/digital program producer
Setting up virtual meetings, webinars
Assist with course design support using technology
Live session support, breakout room facilitation, chat review and summary, detailed virtual classroom tool instructions for learners
Technical support during session
Assist with content curation
Assist with video editing
Create and update program schedules, faculty biographies/program overviews, and program planning sheets for open enrollment programs; create learning teams, photo release rosters and permissions rosters for each program, update Flatbridge/Destiny One and roster with changes once attendance is taken
Proof notebooks and advance (prework) materials for custom client and open enrollment programs with a quick turnaround
Assist with branding/formatting PPT slides and materials
Order simulation materials, special materials for instructors (surveys, questionnaires, etc.)
Manage program material copyright permission
Print notebook draft and create notebook “skeleton” across short courses and corporate services as needed
Coordinate technology and audiovisual and/or simulation needs: reserve Audio/Visual needs with OIT
Assemble materials and or upload to Canvas
Support program management team and cover duties for team members in their absences
Assist with pulling program evaluation reports, as needed
Update Executive Education Excel calendar (including faculty and onsite managers), Google calendars, and program list Excel spreadsheet
Assist in delivery by greeting participants at the Executive Education reception area
Administrative/Operational Support (20%)
Assist with setting up materials for program delivery: program notebooks, registration table supplies, and equipment as needed.
Work with other Carlson Executive Education staff and greet program participants upon arrival.
Assist as Executive Center’s receptionist during program delivery
Assist with classroom program set-up and pre-arrival check of function space and various set-up tasks.
Special Projects (10 %)
Conduct data collection for a variety of special projects; prepare reports when needed
Assist with scheduling faculty and facilities for new and recurring programs.
Assist with other projects as needed
Salary Range: $17.86 - $19.34
