41 Orange, a marketing agency located in Old Town, is seeking a part-time Administrative Assistant to manage the office and handle duties for upper management. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position.

The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position. Qualified candidates will have impeccable verbal and written communication skills and a strong ability to multitask.

Responsibilities include:

  • Maintain office supplies by checking inventory and ordering items when needed
  • Keep office orderly and presentable for guests
  • Greet visitors and direct them to the appropriate offices
  • Conduct clerical duties, including responding to emails and preparing documents, as needed
  • Assist with coordinating special events, including weekly office lunch, birthday celebrations, happy hours, off-site workshops and office parties
  • Assist with accounting tasks, including invoicing, bill pay and payroll input
  • Help with reviewing resumes and coordinating interviews
  • Provide administrative support for leadership team
  • Schedule meetings and travel arrangements for senior members of the company
  • Generate memos, emails and reports when appropriate
  • Assume responsibility for maintenance of office equipment

Requirements:

  • At least 1-year experience working in an office setting preferred
  • Excellent written and verbal communication skills
  • Knowledge of QuickBooks software a plus
  • Ability to multitask and prioritize projects
  • Customer-service oriented
  • Able to complete complex administrative tasks with minimal supervision

Other information:

  • Must be able to work onsite in Old Town 20-25 hours a week
  • $15/hr
  • Benefits not included
