Finance and Operations Coordinator
Opportunity
The Finance and Operations Coordinator is responsible for assisting with daily financial, HR, and operations processes. The ideal candidate is a highly responsive, organized, detail-oriented person with excellent people skills who is proficient with spreadsheets, is analytical, and collaborative when working with a team and stakeholders. Any accounting, Human Resources or Business Operations experience is ideal, but not required.

This individual will demonstrate initiative and determination, possess strong organizational skills, and commit to keeping the school’s many financial and operations systems functioning smoothly.
Job Functions & Responsibilities
School-wide Culture and Climate
● Internalize and live Erie’s mission and vision to students, families, and community members
● Model the Habits of Heart, Mind, and Work
● Use and model positively framed language
School Finances
● Coordinate and work closely with Erie’s external accounting firm and Erie staff to:
- Manage the Accounts Payable process
- Receive, log, and process checks and donations
- Maintain and track federal grants expenditures
- Manage monthly financial closing processes and reconciliation
- Assist with company credit card reconciliation
● Coordinate with school leadership and auditors to support the annual audit.
Human Resources Support
Work with the Business Operations Manager in organizing critical administrative paperwork including:
- Collecting and organizing staff personal and professional information/maintaining employee files
- Verification of employment requests, loan forgiveness applications, etc.
- Assist with submitting reporting requirements related to the company 403b retirement plan, pension fund and compliance requirements for the Department of Labor, IL State Board of Education, and Chicago Public Schools compliance
- Assist with Payroll Processing
- Support the Business Operations Manager and staff with Benefits and Human Resources needs during the annual Open Enrollment for benefits and with individual employees upon their hire.
Operations and Development
- Assist with administrative fundraising functions such as data entry, maintenance of the donor database, and issuing donor acknowledgement letters in a timely manner
- Assist school leadership and event planners with administrative support for fundraising campaigns and events.
Candidate Requirements
The ideal candidate will possess the following minimum qualifications:
● Acts with the utmost discretion when dealing with sensitive employee information and financial reports
● Willingness and enthusiasm for doing whatever it takes to ensure the financial and operational needs of the school are met
● Strong planning capabilities, with an ability to manage time and concurrent projects and priorities effectively
● Meticulous attention to detail
● Responsive to communication from stakeholders and the needs of colleagues and business partners
● Superior people skills - feels comfortable and confident interacting with staff, school leadership, parents, business partners and vendors
● Strong problem-solving capabilities
● Proficiency with Microsoft Office and/or the Google Suite, particularly Excel/Google Sheets
● Entrepreneurial thinker with a desire to support the vision and mission of the Erie Elementary Charter School
● Two to three years of experience, ideally in a school or non-profit organization are preferred but not required

Compensation & Benefits
Salary and benefits will be competitive and commensurate with experience, including full benefits, generous paid time off, access to daily organic meals.
