Job Summary: This role is the “face” of Commonwealth Pain and Spine as the first employee our patients see when they walk in the door, or the last that they see when they exit after their appointment. The Front Office Assistant is expected to be friendly and compassionate and adhere to our Mission, Vision, Values, and the CP&S Patient Guarantees.
Job duties and Responsibilities:
Greets and checks patients in and updates appointment status
Assists patients with completion of intake forms
Inspects forms for completeness and accuracy
Calls patients with appointment reminders and reschedules as needed
Answers all telephone calls promptly warmly responds with information, assistance, and/or transfers the call to appropriate person or department
Establishes and maintains positive relationships with referral sources
Checks patients out and schedules patient for re-evaluation visits, procedures and presents appointment cards
Enters all pertinent patient information and notes into EMR
Scans all applicable patient paperwork
Performs other administrative duties and tasks as assigned
Back up for Medical Assistants
Back up for Patient Support Team
All other duties as assigned
Knowledge, Skills, and Abilities:
Knowledge of modern office equipment and procedures. Previous EMR experience preferred but not necessary
Strong verbal and written communication skills
Interpersonal/human relations skills
Attentiveness to detail
Ability to type and operate word processing programs
Ability to prioritize duties, delegate responsibilities, and evaluate the work of others
Ability to maintain confidentiality and professionalism
Ability to work efficiently and cooperatively with all staff and patients
Minimum Qualifications, Education, and Experience equivalent to:
1+ Years in Medical Front Desk experience, preferred
Pain management office experience, preferred
Highly proficient with computers especially: EMR, Microsoft Word, Excel, Outlook, KASPER, INSPECT, and other EMR software
Able to type 45 words per minute or faster with a high degree of accuracy
High degree of multitasking between Computer, Telephone, Patients, Providers, MAs, Paperwork, Scanning, and Faxing
Manages stress well
Very consistent, pleasant, cheerful personality that patients and co-workers will warm up to immediately
Must be punctual and have great attendance

Must be able to sit or stand for extended periods of time.
Must be able to have repetitive wrist, hand and/or finger movement to type and work on computer.
Must have finger dexterity and hand-eye coordination to work on computer, telephone, and related office equipment.
Must be able to exert up to 15 lbs. of force occasionally to lift, carry, push, pull, or otherwise move objects
Must have clarity of vision and the ability to adjust focus.
Must be able to speak and hear clearly.
Must be able to communicate with patients verbally and write legibly.
Regular attendance is a necessary and essential job duty.
