Provides clerical and general office support to the president and the president's office staff. The president's office assistant provides back up for the president's office associate.


Routinely answers phones, greets and directs guests, handles word processing, copying, faxing, etc.

As directed, the assistant may handle:
formatting, printing, scanning, and mailing correspondence, including mail merges for large mailings
tracking RSVPs and creating event materials such as name badges and table tents
updating logs to track correspondence and signature items
maintaining electronic files
archival scanning and PDF creation to include uploading files into ImageNow for records retention
routine duties to open or close the office
reserving conference rooms, preparing meeting packets, and setting up meeting rooms including hospitality services
uploading items to the portal
tracking event/parking requests
updating the policy and procedure hard-copy manuals when changes are announced and adding new documents to policy and procedure archives
processing requests for reserved parking spaces/parking activity for the west garage
long-term or short-term projects associated with process improvements or occasional tasks
making deliveries and running errands to other offices; and
president's office associate (POA1) duties during POA1 absences

Job Requirements:

High school diploma or equivalent, supplemented by coursework in office technology. Minimum of six months professional experience working in an executive office
Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Acrobat; must possess the ability to learn new software quickly
Superior interpersonal and time management skills
Must be detail oriented
Ability to operate office equipment such as a computer, copier, multi-line telephone, scanner, fax machine, and other office equipment
Ability to use own initiative for problem resolution
Ability to interact effectively with students, staff, community and business leaders, and government officials
Ability to maintain strict confidentiality
Ability to communicate effectively, both verbally and in writing
Ability to edit and proofread own work
Regular attendance is a requirement of this job

Overtime, with supervisor's approval, may be required during busy periods, but should be within the guidelines set by human resources
Flexible schedule when necessary

Hours Per Week: 20-25 per week
Work Schedule: Monday - Friday
Compensation: $17.18 per hour
Grade: Hourly/Temporary
FLSA Status: Non-exempt
