About the Department
The Community Impact Department encompasses our Youth Programs and Community Programs. NYRR is one of the largest non-profit providers of youth and community fitness programming in New York City (with a growing national/international footprint). The Youth Program team develops, administers, and supports an evolving portfolio of youth running programs and resources used by schools, community centers, and families throughout New York City and nationwide. NYRR's flagship youth program, Rising New York Road Runners, brings the benefits of physical activity to various sites to help children develop the ability, confidence, and desire to be physically active for life. The Community Program team develops, administers, and supports a comprehensive portfolio of programs including our renowned NYRR Striders walking/fitness program for older adults, our NYRR Open Run platform that provides free running and walking racing, and community-building opportunities in parks across the city, and bespoke programs such as NYRR Run for the Future and Youth Ambassadors that provide deep engagement and lifelong skills such as running techniques and public speaking.
About the Position
The core responsibility of this position is to lead the Youth and Community Events team that oversees the development and execution of 30+ Rising New York Road Runners events per year, including events associated with our Five-Borough series and the TCS New York City Marathon; and the support of many youth and community-based efforts. All youth events and community activities are free and support the Rising New York Road Runners program as well as individuals and parents in the area.
Job Responsibilities (primary and secondary duties):

Under the supervision of the Vice President, Community Impact, lead the strategy, direction and growth of youth events and community efforts as they provide and deliver against New York Road Runners vision to build healthier lives and stronger communities through the transformative power of running.

Manage and mentor a core team (director, leads, and coordinators) with leading events, community initiatives, project planning, and distribution of daily workloads and communicate and document status and strategic recommendations to senior leaders on a weekly basis.

Oversee all aspects of the youth events project lifecycle: budgeting/management, site planning, permits/approvals, logistical timelines, production ROS and scripting, logistics preparation, staffing, volunteers, vendor sourcing and negotiation management, contract management, RFP management, execution of sponsorship activation plans, runner engagement activities, communication, registration, event execution and post event recap and reconciliation.

Effectively and efficiently plan and prioritize all staff resources working across project(s) based on scope of work and project goals.

Significant year-round focus on direction of youth events and community efforts, by working closely with the Community and Youth Programs teams, leading the Youth Events Strategy Task Force team, and participating on other critical organizational teams and task forces – Rising NYRR Senior Management, as well as other youth specific managerial meetings.

Work closely with the Youth and Community Programs teams to find synergy among projects and events and support each other.

Contribute to departmental goal setting and work closely with leaders and team members to develop individual performance goals that align with organizational and departmental strategic plans.

Assess and implement strategic workflow processes and procedures that maximize efficiency and effectiveness as well as improve youth participants, parents, and coaches’ experience at youth events and community activities.

Contribute to short and long-term organizational planning and strategy as a member of the management team.

Constantly assess portfolio of youth events and community projects to develop new and/or grow current ones in accordance with the organization’s five-year strategic plan.

Develop and maintain event standards (production levels, runner services and amenities, medical, safety, security, communications, technology solutions and contingency plans) standard operating procedures, planning management tools and event analytics for all Rising NYRR races with the goal of optimizing operational efficiencies.

Manage risk associated with youth, staff, volunteers, and spectators’ safety in and around youth events and community initiatives, including being the Incident Commander at all youth events not associated with an adult event.

Liaison externally with city agencies, sponsors, vendors, key venue partners and local communities to ensure successful operation and execution of Rising NYRR events and community efforts.

Liaison with all internal stakeholders to ensure the organization alignment is on partner deliverables, brand messaging and participant communications, overall organizational strategy and budgets for NYRR youth events and community efforts.

Collaborate with the EML, Warehousing, Race Scoring, Volunteer and Event Staffing, Hospitality, and Safety & Security teams in ED&P to ensure all plans integrate seamlessly into the overall youth event operations.

Ensure culture, diversity and inclusion are embedded in the team’s philosophy and a part of the everyday operations.

Job Requirements:
Experience:
-
Minimum 8 years of event project management experience, preferably in the area of youth sports and/or entertainment industries, including strong logistical/operational and customer service background
-
Must have extensive event site planning and management experience. Previous experience in the NYC event planning landscape is preferred
-
Knowledge and understanding of the youth and community landscape in New York City.
-
ROS, Scripting and Stage Management Experience is required
Education & Certifications:
-
Bachelor’s Degree preferred
-
USATF Youth Coaching Certification preferred
-
USATF Official Certification and technical knowledge of road racing and track and field required
-
FEMA Level 100, 200, 700 and 800 training preferred
-
CPR/AED and First Aid Certification preferred
-
Forklift certification preferred
Skills and Attributes:

Proficient in Microsoft Business Applications (Excel, PowerPoint, Word, Teams) and Visio or AutoCAD preferred

Strong attention to detail

Excellent written and verbal communication skills

Working knowledge of event site power, lighting, connectivity, and A/V is required

Ability to prepare budgets and provide detailed analysis

Willingness to travel, work various weekends and extended hours, as needed

Must have strong leadership skills and the ability to work effectively in a collaborative team environment

Ability to effectively manage multiple projects simultaneously and work under tight deadlines

Demonstrated ability to manage a team of employees. Managing day to day workloads and effectively prioritizing and delegating projects/tasks

Comfortable presenting to organizational senior management and external stakeholders

Physical Requirements
Salary: $115,000/year
