While this role is responsible for traditional office duties, you will collaborate with marketing, booking and the executive team to deliver good vibes and unbelievable experiences for everyone that the BOK Center brand touches.
Duties & Responsibilities
Serve as the VIP liaison/hospitality coordinator on event days for Promoters, Agents and other guests, as directed.
Generate innovative and unique ideas for artist/promoter/agent gifts.
Lead and organize SMG's charitable initiatives and employee fun days.
With the assistance of marketing, oversee and execute backstage messaging, decorations, music play lists, etc...
Manage the work out facility to ensure cleanliness, lighting and music playlist for all show days.
Assist marketing with grassroots efforts and media relations.
Stay up to date on pop culture and trends within our industry.
Assist in client relations such as ticket requests, trade correspondence, donations to nonprofit organizations, etc. at the request of the GM and AGM.
Draft letters, reports and other correspondence in a timely, accurate manner.
Receive and screen telephone calls and visitors in a professional manner. Provide routine information regarding event operations, policies and procedures, etc.
Plan meetings and keep calendar of appointments for the General Manager and Assistant General Manager.
Maintain a variety of files and records of information such as budget, event files and expense reports.
Develop, implement and remain well informed of all office functions, company policies and procedures, and daily activities; answering related internal and external questions within authority.
Meet with vendors and negotiate contracts for new office equipment, services or materials as needed.
Maintain and order all necessary supplies, materials, and services for facility, department and office equipment (i.e., office supplies, stationary, copier, fax machine, postage machine, etc.).
Work extended and/or irregular hours including nights, weekends and holidays, as needed.
Maintain phone recordings for all public phone lines at BOK Center
Correspond with promoters as requested by the GM and AGM
Participate in events and various committee meetings; updating spreadsheets, taking notes and answering pertinent questions. Update and maintain accurate records in order to meet corporate requirements.
Responsible for the parts of the contract process, which may include drafting contracts, maintaining correspondence regarding contracts, ensure files are complete, tracking use license agreements, tracking certificates of insurance from the client and maintaining the necessary files and spreadsheets for all contracts.

Operate a personal computer and software with strong Word, PowerPoint, Excel and Internet.
Operate standard office equipment including copier, postage machine and fax machine.
Knowledge of Adobe Creative Suite is a plus.
Experience using a Cricut Design Space is a plus.
Supervise any full or part-time administrative assistants and receptionist.
Education and/or Experience
Bachelor's degree from accredited four-year college or university is preferred.
