SUMMARY

The Front Desk Associate primary focus will be to support HR and other Executive team members. This is a visible position located in the front lobby of our offices. Office hours are flexible between 8 am - 5 pm

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Coordinate and support activities of the executive team - including calendar management, travel arrangements for multiple departments, coordination of internal and external meetings, additional projects, and communication between the Executives and associates.
  • Provide assistance, troubleshoot problems, provide advice and input as requested, utilizing independent judgment in arriving at solutions to issues.
  • Provide administrative support by scheduling meetings, preparing agendas, taking minutes at meetings and screen phone calls with the discretion and confidentiality.
  • Coordinate the tasks associated with company policy management and assist HR with company events.
  • Assist in meeting and presentation preparation.
  • Receive, open and distribute incoming mail and documents.
  • Perform duties of a highly confidential and time-sensitive nature. Use independent judgment and initiative to complete tasks. This may include attending and participating in confidential meetings.
  • Compose, edit and review routing and advanced highly confidential correspondence, including letters, memorandum and reports. This will include taking raw text and transforming it into a professional, well-organized document. Examples of these would include presentation for board or outside reports; correspondence relating to ongoing deals etc.
  • Assist with Board meeting planning and Board Book production and distribution.
  • Plan, organize & prioritize work to meet deadlines and accomplish tasks within established time frames.
  • Maintain and organize accurate records and filing systems. Locate and retrieve material from the files when requested. Maintain various corporate projects, contact files and distribution lists.
  • Assist others within the corporate office and various departments within the company with projects as time allows. Projects may be on-going or short term.
  • Other duties or projects as assigned.

SKILLS AND COMPETENCIES REQUIRED

  • 4+ years of prior office support
  • Extremely organized, thinks of processes end-to-end/start to finish
  • Great with Multitasking, Time Management & Prioritization; (ie: knowing how to work around scheduling & calendar conflicts)
  • Excellent telephone, communication and human relations skills.
  • Ability to work independently and in pressure situations with limited direction.
  • Must be a Self-starter with ability to capture requirements, assemble a plan and execute with limited oversight. Sound judgment, initiative and good decision-making.
  • Excellent grammar, spelling, proof reading and research skills.
  • Seasoned knowledge of Microsoft Outlook, Excel, Word and Power Point.
  • May be required to be flexible with hours on occasion to meet project deadlines; may require prolonged use of computer keyboard and video monitor while in a sitting position;
  • Possession of a valid State of Arizona Class D Driver's License is required.
