As a KEITH Manufacturing Co. Service Department Customer Relations Administrative Assistant works directly with and supports the Service Department Manager and the Service Department Coordinator in managing all aspects of the Service Department in Caring for our KEITH customers and KEITH Field Service Technicians. The individual in this position must have the ability to receive incoming calls from our customers and field service technicians and quickly diagnose these problems or know how/where to direct them to get the correct diagnosis and then determine the best way to get the correct information and parts shipped out in a timely manner. This position is located at our World Headquarters in Madras, Oregon. Essential Functions

  • Manage RGA (Return Goods Authorization) Process
  • Provide parts quotes for Stationary and Mobile KEITH customers
  • Help Manage of stocking parts for Service Trucks, Service Department Parts Inventory in Madras
  • Assist with parts and Inventory purchases between KEITH Manufacturing and KEITH Service
  • Provide labor quotes for Preventive Maintenance, Installations, Start-ups, System Upgrades, etc.
  • Document and file work-related documents created by Service Department to be place within the KEITH Projects folder on the “Bunkers” server
  • Assist with travel arrangements for Field Service Technicians
  • Create organizational documents to help improve/manage the efficiency of the Service Department
  • Customer feedback documentation on all forms of Field Service
  • Able to help schedule field service work, up to and including processing Tech Requests and writing parts orders
  • Maintain a “customer first” mindset for productivity and quality
  • Maintain 6S in the work area
  • Meets agreed upon manufacturing goals in a timely manner
  • Arrive at work, meetings, appointments, and other work-related functions on time and as scheduled

Peripheral Duties

  • Some travel and field service work may be required
  • Earn the trust of customers, as well as all team members

Minimum Qualifications

  • Previous relevant experience is preferred
  • Excellent phone and communication skills
  • Willing to learn and understand the working knowledge of various types of drive systems manufactured by KEITH Manufacturing Co. and to identify the parts and trouble shoot these systems
  • Perform work with a high attention to detail and aesthetically pleasing appearance
  • May be required to pass employer performance tests
  • Strong interpersonal skills
  • Detail oriented with strong analytical skills
  • Highly motivated, self-starting team player
  • Ability and willingness to follow directions as well as the ability to work independently
  • Be at least 18 years of age

Working Conditions

  • Works in a Production Shop
  • Exposed daily to continual noise from machines

Physical Requirements

  • Able to sit or stand for 8 to 10 hours at a time
  • Able to lift 25 lbs.
