CPS PA Admin Asst II - The position provides administrative support to Child Protective Services Program Administrator. The position interacts routinely with Texas Department of Family & Protective Services (DFPS) staff and the general public.
Essential Job Functions:
Prepares, reviews and edits reports based on data provided by program tracking and reporting systems.
Knowledge Skills Abilities:
- Handles inquiries and complaint calls, responds to questions, takes messages, and provides referral information to clients or staff.
- Performs liaison duties between Program Administrator (PA) and district, regional, state office and administrative staff by coordinating information, scheduling meetings, etc.,
- Coordinates the purchases and receipt and distribution of office furniture and supplies.
- Processes incoming and outgoing mail for the Program Administrator (PA).
- Coordinates and completes special projects and assignments involving various program related activities.
- Maintains filing and record keeping systems.
- Tracks and coordinates various types of inquiries and administrative actions.
- Provides notary public services.
- Provides guidance, back-up or training to program clerical staff and serve as an information resource to regional staff.
- Coordinates travel arrangements and prepares appropriate vouchers and forms.
- Performs other duties as assigned and required to maintain unit operations.
- Promotes and demonstrates appropriate respect for cultural diversity among coworkers and all work-related contacts.
- Attends work regularly in accordance with agency leave policy.
Knowledge of office practices and administrative procedures.
Skill in using a personal computer and Microsoft office software
Ability to implement administrative procedures, to interpret rules, regulations, policies, and procedures
Skill in establishing and maintaining effective working relationships
Skill in working in an office supporting several staff members
Ability to interact with all levels of staff
Ability to work independently in a fast-paced environment
Ability to effectively handle multiple assignments in a dynamic environment
Registration or Licensure Requirements:
Initial Selection Criteria:
Graduation from high school or equivalent
- Two years full-time administrative support, general office, clerical, secretarial or PRS experience.
- Sixty semester hours from an accredited college or university may be substituted on a year for year basis for the required experience
***Interviewing Preference will be given to persons with DFPS/CPS experience and internal knowledge of the CPS IMPACT system and CAPPS/CAPPS financial systems.
