Office Manager Duties:

Maintains office services by organizing office operations and procedures; answer phone and schedule service calls; preparing payroll; controlling correspondence; maintain record keeping and filing systems; assist in the on-boarding process of new hires; address employee questions regarding office management issues. Light bookkeeping including AR duties.

Requirements

  • Proven experience as an Office manager
  • Experience with QuickBooks Online with payroll including Understanding of prevailing wages
  • Ability to support Company owner (Schedule, travel, expenses, etc)
  • Experience with AR - Receiving/posting payments/credits
  • Proficiency in MS Office (MS Excel and Outlook & Calendar, in particular)
  • Familiar with Permit Submittals and Purchase
  • Excellent time management skills and ability to multi-task and prioritize work
  • Ability to communicate clearly, concisely, and professionally both orally and in writing with attention to detail at multiple levels within the organization
  • Able to handle confidential and sensitive information and exercise sound judgement
  • Consistently delivers high quality and professional customer service to both internal and external customers
  • Able to identify process improvements and gaps and make appropriate changes
  • Able to work independently and as part of a team
  • Able to prioritize multiple projects, meet deadlines, and reprioritize as needed following through on commitments

JOB REQUIREMENTS AND QUALIFICATIONS

  • High school diploma/GED required, Bachelor’s degree preferred
  • Minimum of 5 years of experience providing administrative support, preferably within a Construction/Sub-contracting industry
  • Intermediate Quickbooks Online and Microsoft Excel
  • 3 years of Accounts Receivable
  • Accounts Payable experience a plus
  • Basic understanding of accounting, P&L’s and HR desirable
  • Must be personable, professional and have a great attitude (not a blamer/complainer)
  • Notary preferred

Job Type: Full-time

Salary: $40,000.00 to $45,000.00 /year
