Job Title: Licensed CA Real Estate Transaction Marketing Coordinator

We are a leading Remax Real Estate team in the Bay Area, and we're seeking an experienced, detail-oriented, and customer-focused Real Estate Transaction Coordinator/Client Concierge to join our team. Key Responsibilities:
- Ensure Compliance & Document Accuracy: Maintain accurate transaction files and ensure compliance, protecting agents and the team.
- Client Communication: Respond promptly to all client communications and foster strong client relationships through high-quality interactions.
- Transaction Management: Oversee the entire contract-to-close process, including timeline management, document audits, and client updates.
- Collaboration & Support: Communicate with clients, agents, lenders, and escrow to keep everyone informed. Proactively solve issues, but seek coaching when needed.
- System Management: Create and manage processes that streamline transaction logistics, ensuring agents can focus on high-priority tasks.
- MLS & Contract Processing: Update MLS, process CAR contracts and maintain up-to-date transaction records.
- File Audits: Conduct daily file audits, report on progress, and ensure all contract deadlines (contingencies, inspections, appraisals) are met.
- Client Care & Experience: Manage the client relationship throughout the transaction and beyond
- Manage all calls and communications regarding transactions.
- Stay ahead of deadlines and potential issues in contracts.
- Handle all transaction-related documentation, such as Home Warranty orders
- Conduct weekly alignment calls with agents to review pending files.
- Update and manage CRMs, Google Drive, and other team reporting tools.
Customer Support:
- Guide clients through every step of the process, ensuring exceptional service.
- Manage lead prospecting, appointment setting, and database management.
- Run errands and meet vendors at properties as needed.
Qualifications:
- Education: Associate's degree required.
- Must be located in the Bay Area and hold an active CA real estate license.
