Duties & Responsibilities

Reporting to the Vice President for the Harvard Library and Roy E. Larsen Librarian for the Faculty of Arts and Sciences, the Director of Administration and Finance (Director) will be responsible for advancing the key financial, operational and administrative goals of the Harvard Library (HL), Harvard College Library (HCL), and member libraries affiliated with the Faculty of Arts and Sciences (FAS). As the senior administrative official responsible for the management of a ca. $150M budget (of which $28 million is shared between the HL and HCL), the Director will support alignment of the organizations’ administrative operations with University-wide strategies and goals for the Library system, as well as the strategies and goals of the FAS administration. The Director will oversee budget strategy and management for the HL that reflects the efficient provision of shared services to the community of Libraries at Harvard. The Director will also oversee the budget strategy and management for the HCL that reflects the priorities of the FAS. Further, the Director will ensure that all administrative services for both organizations, including financial services and also human resources, communications strategy, technology services, and security and operations are in place to support the strategies and goals of the Harvard Library and FAS administration. As a member of the Library’s Senior Management Team and the Library Leadership Team, the Director will work across the community of libraries at Harvard, including the FAS library organization, to create cohesive and effective processes, programs and tools to support both organizations and facilitate collaboration. The director is also a member of the FAS dean for administration and finance’s coordination team.

As a member of the Library’s Senior Management Team and Library Leadership Team, work across all member units to ensure that efficient and effective administrative services are in place to support the strategies and goals of the Harvard Library and FAS administration.

In partnership with University-wide and FAS departments, manage all administrative operations within the Harvard Library and HCL, including financial services, human resources, communications strategy, technology services, and security and operations.

Direct the financial management and budgetary planning across the HL and HCL, including annual budget process and multi-year financial plan process, ensuring that current and future-year financial strategies align with organizational strategy and support strategic priorities and goals.

Oversee all financial functions for the HL and HCL including but not limited to operating and capital budgeting, multi-year planning and forecasting, A/P, A/R, financial analysis, fund management, gift and grant compliance, financial reporting, and payroll.

Oversee human resources and staff development to regularly align the evolving needs and goals of the organizations with the evolving abilities and goals of staff; oversee programmatic evaluation and staff development

Oversee the Library Learning Initiative to ensure that staff develop continuously to acquire new skills.

Support the Library’s Diversity and Inclusion efforts by assisting the VPHL and Senior Management Team in developing strategy, organizing implementation, and tracking progress against goals.

Basic Qualifications

Bachelor’s degree required.

At least 10 years of demonstrated increasingly responsible management and administrative experience, preferably in an academic environment.

Additional Qualifications

Master’s degree in related discipline strongly preferred.

Significant experience and responsibility developing and managing the administrative activities of a complex, matrixed organization within a university and research organization.

Extensive financial, project and people management experience.

Demonstrated success in managing change and building and managing new processes.

Ability to manage multiple complex activities in a time-sensitive environment, provide administrative support under pressure and handle difficult and confidential issues with integrity.

Outstanding written and verbal communication skills, interpersonal effectiveness and wide ranging service orientation.

Duties and Responsibilities continued:
Oversee the development and implementation of an administrative technology strategy in partnership with HUIT that ensures public and staff access to appropriate technologies

Liaise and coordinate with University-wide and FAS Office of Physical Resources and Planning on building operations management, infrastructure needs, construction management, and planning, building safety, security, use of library spaces, planning design and emergency responses including coordinating logistics for organization-wide events, disaster recovery and business continuity planning and emergency responding

Ensure appropriate alignment and compliance with all University-wide and FAS strategies and policies surrounding financial services, human resources, communications, technology, and security and operations.

Coordinate interactions and planning with the Harvard Library to ensure a shared understanding of service the Schools and that pricing for fee for service areas, including the Harvard Depository and the Digital Repository Service, is updated and communicated annually to the schools

Serve on committees and collaborate with other University senior administrative staff; build effective administrative support systems both within and outside of the organization and carry out responsibilities in a collegial, diplomatic and respectful manner with all constituents.

Manage up to 12 staff of finance professionals who provide financial management support as well as the Administrative Operations staff of 5 and the Library Learning Program Manager. In addition, this position manages dotted line relationships with Harvard employees in Harvard Human Resources, FAS HR, FAS Physical Resources and Harvard University Information Technology (HUIT) network administration.
