GRANT FUNDED: The Family Care Center at Harlem Hospital Center is a hospital based multi-disciplinary program that provides medical and mental health services to HIV infected children, adolescents and adults. We are seeking a full time Administrative Assistant..
The Administrative Assistant will provide assistance to the program director and program administrator in the daily administration of the department. Must be able to handle confidential material and exhibit a high degree of discretion. Responsibilities include screening visitors, telephone calls, mail for the program, handling matters independently or triaging to others, whenever possible. Schedule appointments and manage calendars accurately and thoroughly, using discretion and independent judgment. Coordinate interdepartmental meetings and assist with any special events. Distribute monthly on call schedule for medical providers. Work with the hospital’s Purchasing and Accounts Payable Divisions in ordering supplies/services. Obtaining quotes and invoices from vendors, and submitting invoices for payment to the Accounts Payable Division, where applicable, for the department. Keep track of all orders and provide reports as needed on items purchased for grant programs. Ensure that inventory of non-medical supplies (office supplies, stationery etc.) are maintained and stocked in clinic and office areas. Assist with production of materials (reproducing materials for program staff (health education materials, promotional materials), for support groups, outreach events, etc. Assist with preparing monthly time and effort forms for all program staff. Prepare and submit time sheets to subcontractors monthly. Assist in entering data monthly in multiple data systems used by grant programs. Assist in generating and providing data reports as needed. Serves as back-up for sending out specimens to diagnostic laboratories. Perform other related duties as assigned.
QUALIFICATIONS: Associate degree or at least three years of Administrative or Executive Assistant experience or the equivalent in education, training and experience. Computer literate with familiarity with Microsoft Soft Office Suite.
Familiarity in a medical setting preferred.
