Special Events and Volunteer Coordinator - Milwaukee PBS

Milwaukee PBS, licensed to the Milwaukee Area Technical College, is seeking a Special Events and Volunteer Coordinator to direct its community and studio-based activities. Reporting to the Chief Development Officer,, the Special Events & Volunteer Producer manages all event logistics, timelines and administrative elements associated with a range of Development department special events.

The successful candidate will be able to take initiative, work independently and as a team, and demonstrate superior organizational skills with ability to prioritize and multi-task.

Manage site logistics, budgets, lists, data management, contract negotiation, vendor relations, site surveys, onsite supervision and all administrative elements associated with each event;
Collaborate with Individual Giving and Communication Engagement teams to conceptualize, program, and launch robust event concepts;
Act as primary liaison with Creative Services and Marketing to route creative concepts and obtain approvals for event websites, invitations, ads, email blasts, banner ads, social media creative, on-site signage ;
Work closely with strategic partners for event implementation;
Oversee guest lists and venues to ensure event success;
Work with caterers and florists to plan menus and event design concepts;
Solicit and procure Event Sponsors and in-kind gifts such as: gift bag items, food and beverage, silent auction, and other donated products, as directed; ·
Research and maintain resource lists including but not limited to venues, caterers, designers,, event planners, in-kind donors; ·
Maintain robust knowledge of industry standards, trends, new business/venue openings and monitor competitive brands' events to ensure Milwaukee PBS remains on trend and innovative within the industry;
Coordinate and route for approval contracts and invoices to ensure adherence to company policies and procedures.
Recruits and manages a diverse volunteer base for station activities: live pledge nights; Great TV Auction; and other activities that benefit Milwaukee PBS
Where appropriate, collaborates with MATC external communications and development to bolster Milwaukee PBS events
Other duties as related of assigned.

Bachelor's Degree preferred, and a minimum of 3 years' experience in special events; proven experience finding creative ways to do more with less and staying on budget will be needed;
Exceptional tact, diplomacy, and an outgoing personality in order to engage with donors, volunteers and vendors;
Strong written and verbal communication skills;
Ability to work evenings and occasional weekends will be required.
