The Controller is responsible for overseeing and implementing all aspects of financial management as well as oversight and some implementation of Human Resources, Building and Grounds, and Billing. This role includes preparation of timely, accurate, monthly financial statements for the CEO and Board, managing the Accounts Payable Manager, Billing Manager, Operations Manager, and Human Resources Manager and their output. The Controller will be a member of the Leadership Team at Jill’s House, working cooperatively to make decisions that will advance the mission and work of Jill’s House over the long-term.
Roles & Responsibilities
Preparation of Monthly Closings • Ensure General Ledger account information is accurate, consistent, traceable and auditable • Reconcile all Balance Sheet accounts and review Income Statement accounts for correct coding • Prepare a monthly financial reporting package for CEO and Board Treasurer Manage Finance Office • Oversight responsibilities for Accounts Payable Manager, ensuring all information is being correctly recorded, check runs are timely and accurate • Preparation of 1099s • Oversight responsibilities for Human Resources Manager, ensuring all employees are being correctly paid, and benefits are being correctly charged • Prepare payroll entries in Quickbooks • Review payroll reports, quarterly reviews of 941 data, ensure all tax jurisdictions are properly being paid • Oversight responsibilities for Billing Manager, ensuring families are being billed, and we are collecting funds appropriately • Data billing uploads to FACTS and Quickbooks Manage Restricted Funds • Ensure accurate application of donor or grantor’s instructions • Preparation of Reports on various restricted gifts/grants • Monitor spending for restricted gifts and properly reflect that spending in the General Ledger Manage Fixed Assets • Ensure Fixed Assets are properly recorded in the General Ledger • Maintain Fixed Assets Register of all company personal property • Calculate and record depreciation in the General Ledger
Preparation of Year End Audit Package • Prepare work papers pertaining to the annual audited financial statements • Act as a liaison between auditors and Jill’s House, providing any information needed to complete the annual audit Prepare Financial Analysis in connection with Financial Reporting • Analysis includes Cash Flow Reports, year-end projections, activity in general ledger accounts, other information as needed by the Board or CEO Budgeting • Prepare annual budget for CEO • Monitor spending throughout the year to alert Department Heads, CEO and others to spending issues • Preparation of Budget versus Actual Financial Reports on a monthly basis Human Resources • Oversee all aspects of Human Resources (recruiting, onboarding, offboarding, payroll, benefits administration, conflict resolution, etc.) • Oversee the Human Resources Manager • Assist in cultivating people and a culture that will advance the mission and work of Jill’s House Leadership Team • As a member of the Leadership Team, collaborate with senior leadership at Jill’s House to make decisions that will broadly impact Jill’s House over the long-term • Model beliefs, behaviors, and attitudes that reflect professional excellence and Christian character, and live out the Values, Mission, and Vision of Jill’s House Building and Grounds • Oversee all aspects of management of the physical assets of Jill’s House • Oversee the Operations Manager • Steward the physical assets of Jill’s House in a way that will advance the mission and work of Jill’s House over the long-term
Qualifications and Education Requirements
- Undergraduate degree in Accounting/Finance, Business Administration or similar field • CPA or MBA • Minimum of 5 years of experience in a progressive accounting role
• Proficient knowledge of ADP Workforcenow and Quickbooks • Proficient in Microsoft Office, (Word and Excel)* • Strong communication and organizational skills • Ability to oversee and develop a team • Able to flourish in a rapidly changing organization and operate comfortable with ambiguity and complexity • Ability to work cooperatively and collaboratively with all levels of employees, management, and external partners
