Rutgers, The State University of New Jersey, is seeking an Administrative Staff Assistant for the Department of Obstetrics, Gynecology and Reproductive Sciences at the Rutgers Robert Wood Johnson Medical School.
This position performs a wide variety of administrative and support services within the OB Department. This position assists in the planning and support of program activities and assists in coordination of overall office operations under the supervision of the Program Administrator.
Among the key duties of this position are the following:
- Responsible for providing administrative and staff support for the department.
- Maintains the calendar of all meetings of the General Division.
- Plans, organizes and schedules all meetings of the General Division, both in person and virtually via WebEx.
- Manages phone calls for the Division, Division Chief and select division faculty.
- Processes, documents and tracks vacation schedules of the General Division with the approval of the Division Chief.
- Works with the Division Director to create, distribute and update the faculty on call schedule.
- Regularly updates certain division reports as required by the Program Administrator and compiles monthly tallies of division volume.
- Receives, prioritizes, and appropriately handles all outgoing and incoming correspondence, and responds to inquiries.
- Attends various meetings and takes meeting minutes.
- Maintains electronic communication for the division, keeps up with technologies to enhance communication and efficiency for the division, and uses social media to assist with educational endeavors and CME.
Schedule: Monday – Friday 37.5 hours per week
