SUMMARY

The Operations Assistant is responsible for processing mail intake and outgo, customer mailings for policy renewals, and providing customers and third parties with credentialing documents pertaining to insurance coverage past and present.

MAJOR DUTIES AND RESPONSIBILITIES

1.

Works directly with the Senior Operations Assistant and Operations Manager providing verification of insurance coverage, both past and present, and reporting claim/loss information to customers and third party credentialing facilities on behalf of our customers.

Handles mail intake which includes sorting, date stamping, setting up new customer accounts in our system, filing scanned documents to customer accounts using the appropriate template, and distributing the mail to staff throughout the day. Incoming mail includes deliveries, faxes retrieved from our insurancefax@aana.com email account, emails received direct from our customers, and emails forwarded internally from the customer service agents or underwriters.

Prepares outgoing mail, which includes collecting mail throughout the day, running the mail through the mail machine and dropping it off at the mailbox. Upkeeps and updates the mail machine as needed.

Validates and corrects the address using all available resources when mail is returned as undeliverable. Re-sends the mail when updated address is found or notifies the sender that the mail was returned when those efforts are exhausted.

Works closely with Marketing on assembling and mailing marketing materials on an as needed basis.

Scans and files to the customer account the internal packets created by the underwriters, auditors, and customer service agents.

KNOWLEDGE & SKILLS

Experience:
  • This is an entry-level position.
  • 1-2 years office experience preferred.
Education/Certification/Licenses:
  • High school diploma or equivalent required.
  • Associates degree in business preferred.
Qualifications & Other Skills:
  • Excellent communication skills, both written and verbal, to clearly and concisely communicate to all levels of the assosication
