We are looking to add a Human Resource Assistant to join our seasoned Human Resource team.

Reporting to the HR Supervisor, the Human Resource Assistant is an entry-level position in the Human Resource department. This position provides support to the department in areas such as new hire onboarding, employee status changes, performance management, administrative/HR compliance support, corporate training, etc.

Responsibilities:Onboarding:
Set up new hires in internal applications, including employee notice, outlook, welcome email, TR applications, IS ticket, Access Request form, timekeeping/vacation hours set up.
Create and ship new hire paperwork kits and gift bags as needed.
Assist in gathering new hire paperwork from new employees for payroll processing.
Submit and complete background checks for new hires, upon request.
Order and distribute business cards for new hires, promotions, and upon request.

Administrative/HR Compliance Support:
Process monthly/ADP background check invoices.
Process monthly business card invoices.
Complete incoming employment and mortgage verifications.
Complete unemployment paperwork.
Assist in preparing separation letters and paperwork.
Complete and report monthly sanction checks for the company.
Process annual sanction checks invoice.
Maintain up to date records of all RN licenses and special certifications.
Create and distribute monthly phone extension list.
Maintain and distribute firm organizational chart.
Ensure compliance with office labor law posters and audit quarterly.
Monitor employee policies & procedures acknowledgement and audit quarterly.
Maintain active and terminated employee personnel files and I9 forms.
Assist Director of Human Resources and department with reporting needs, special projects upon request.
Act as a back up to other HR roles in the department.
Other duties as assigned.

Corporate Training:
Assist Corporate Training Manager in organizing training materials and support with training set-ups/logistics as needed.
Assist Corporate Training Manager in tracking and monitoring all employee training attendance and follow-up with employees about registering for mandatory trainings.
Release, track, and monitor knowledge assessments in Talent Resources Application.

Requirements:
High School Diploma with 3-5 years of HR related experience -OR-
Associates/Bachelors Degree with prior HR related internships.
Minimum of one-year experience in a human resource department is preferred, but will consider recent graduate with prior Human Resources internships.
Must be proficient in the Microsoft Office Suite (Word, Excel, some Access) and be otherwise PC literate.
Excellent interpersonal, communications and organizational skills.
Experience handling confidential information is a must.
Some experience working with a HRIS in a definite plus.
