General Summary: This position provides administrative support to the Office Manager in the day-to-day operations of the company across multiple floors in the building as well as performs reception duties for meetings and appointments.
Major Responsibilities:
- Performs Reception duties for meetings and appointments
- Responsible for maintaining and monitoring multiple floors
- Managing and tracking all office related orders
- Assists various presidents and vice presidents within the building
- Communicate effectively with multiple teams
- Manages showroom calendars and monitors appointments
- Track Expense Reports and invoices
- Arranges for maintenance for company business machines (i.e. copiers, etc)
- Maintains emergency contact information
- Arranges seating for new employees
- Assists in operations of showroom & office
- Manages updates of all donations and company sponsorship information
- Communicates all office delivery needs for showroom and other offices (i.e. showroom supplies, etc.)
- Manages reconciliation of monthly credit card
- Sends emails for various company functions
- Assists with construction related issues
- Monitors requests for Supplies and Office Maintenance
- Maintains relationship with outside vendors (i.e. copier company, cleaning company, etc.)
Secondary Function:
- Partners with MIS for basic extension list and cell phone list
- Able to work with the building supervisor
- Moving and lifting boxes and furniture as needed (~20 lbs)
- Occasionally as needed aiding in mailroom and housekeeping duties
- Partners with HR in ordering all company-related gifts (i.e. flowers, etc.)
- Special Events Organizing – catering, booking, and purchasing
- Special Projects
- Other duties may be assigned.

Education, Licenses, Certificates, Registrations and/or Experience:
- High School Diploma or Equivalent
- 1-3 years experience in related field
- Must be proficient in computer skills, including Word, Excel, and Outlook
- Excellent Organizational and Communication Skills
Salary Range: The pay range of this position is $24/hr - $26/hrActual salary will be determined based off candidate's skill sets, years of experience, and other job-related factors. This range does not include benefits such as health insurance, paid time off, 401K, and additional company benefits
