The Hospitality Coordinator assists the Premium Services Food & Beverage Manager in overseeing all BOK Suite operations including sporting events, concerts, various shows, and special functions. The Suite Coordinator will have excessive interaction with clients during events. The Suite Coordinator will be able to build, launch and operate an event independently of the Suite Manager. Position includes lead supervision of all suite attendants and runners in the Premium Areas at the BOK Center during events. This position requires coordination and assistance with both the Premium level F&B operations and Catering operations.
Essential Duties & Responsibilities
Maintain a cooperative, team-like attitude in working with supervisors and fellow employees (including other departments).
Inventory, ordering, and stocking all suite related products.
Ensure the premium wines spaces are cleaned and assist in order and re-stock as needed
Make sure all storerooms are clean, organized and secured.
Organize and assist in re-setting all premium locations with equipment, plates, cups, wine glasses silverware inventories on a predetermined basis.
Organize equipment for an event as well as clean and maintain equipment during and after functions.
Ensure the proper handling and cleaning of all equipment, china, glass and silver.
Provide immediate communication of special requests, guest problems or concerns to, Premium Seating F&B Manager.
Provide the highest customer service excellence.
Ensure that the food and beverage is served while maintaining a consistent presentation and proper temperature.
Enforce all sanitation procedures including safety guidelines and OSHA requirements.
Assist in developing and implementing suite training programs, policies, and procedures.
Ensure all Savor F&B policies and procedures are followed.
Assist Premium Services F&B Manager and Bar Manager in other areas where needed.
Perform any reasonable requests assigned by management for staffing and performance needs.
Have the ability to take direction from manager and effectively organize and supervise all Suite level staff.
Required to speak and understand English well enough to converse with customers, supervisors, and employees.
Follow all designated opening and closing procedures to ensure areas are secure and energy efficient.
Follows all rules and regulations which apply to the food and beverage operations and to SMG Food and Beverage Division.
Understand Premium procedures and be able to work independent of the Premium Services Food & Beverage Manager.
Assis in Scheduling, payroll and updating part time licensing.
Other duties as assigned.
Qualifications & Skills
Must be able to work independently with little or no supervision.
Physical ability to perform tasks that may require prolonged standing, sitting and other activities necessary to perform job duties. Ability to lift and/or move up to 50 pounds.
Ability to speak effectively before groups of customers.
Ability to work in both inside and outside environmental conditions
Previous responsibilities of inventory, cost control, ordering, receiving, & stocking of suite supplies and products.
Excellent organizational, planning, communication and inter-personal skills.
Ability to undertake and complete multiple tasks.
Maintain an effective working relationship with clients, employees, exhibitors, patron and others encountered in the course of employment.
Follow oral and written instructions and communicate effectively with others in both oral and written form.
Organize and prioritize work to meet deadlines. Work effectively under pressure and/or stringent schedule and produce accurate results.
Meet physical demands of job, which entail climbing, lifting and carrying.
Be licensed and insured to operate a motor vehicle in the United States.
Remain flexible and adjust to situations as they occur.
Minimum Education & Experience
High School or GED Certificate graduate.
Minimum of two (years) work related supervisory experience.
Must have current Oklahoma Liquor License
Food handler certificate required from Health Department.
Must be of legal age limit with respect to serving alcoholic beverages.
Training of all Suite Attendants
Enforce all liquor laws & adhere to all health dept regulations.
Stocking and resetting all of the Premium Seating locations
Maintain all of the stock of Premium wines, and other consumable items on the suite level
Operate a personal computer using Windows, Office and other standard office equipment.
Must be familiar with Google Docs, Google Sheets and Microsoft Office Products
