This position is responsible administrative/clerical support for the Laboratory Department.
High School Diploma or equivalent
3-5 years of administrative experience, health care experience preferred.
Knowledge, Skills & Abilities
Ability to communicate with all levels of internal and external customers.
Moderate Computer skills for data entry.
Experience with Microsoft Office: Word and Excel preferred.
HIPAA policies on Confidentiality.
Primary Duties and Responsibilities
Administrative Assistance: Performs clerical/administrative tasks to support the efficient functioning of the department.
Participates in interview and selection of job candidates.
Assists Directors and Unit Managers with policy updates and organization of information needed for 90 day and annual performance appraisals.
Prepares /phones/ mails out notices as necessary in order to keep all employees in compliance.
Maintains and tracks employee information to include but not limited to orientation checklist, competency checklist, annual mandatories, corporate compliance, PPD’s, CPR, licensure, certifications, attendance, age specific, schedule obligations, etc.
Maintains unit communication books.
Coordination of Office: Performs the functions and processes of the Nursing Office to ensure that the work of the office is complete, timely, and continuous.
Performs PI monthly tracking and tallying of information.
Prepares and collects data for statistical reports including records of daily census, census trends, department budget reports, nursing budget reports, and any other statistical data as requested.
Coordinates Lawson, Careware and Kronos for the Nursing Division.
Coordinates staffing and scheduling of nursing resources.
May assist with educational program organization, application, and/or support.
Retrieves, locates, researches information as requested.
Administrative Support: Is responsible for providing administrative support to the Director of Nursing and the unit managers.
Maintains and archives department manuals in an orderly fashion.
Maintains and archives all records according to departmental, state and federal regulations.
Manages invoice tracking, check requests.
Manages death certificates.
Provides advanced word processing services to include general correspondence, memoranda, presentations, newsletters, and tables.
Prepares reports for meetings, using departmental software.
Copies and faxes documents.
Acts as a resource to less experienced software users.
Maintains files for DON and unit managers.
Performs filing, word processing, spread sheets, copying, and running errands.
Sets up meetings.
Attends meetings and records minutes.
Maintains calendars for nurse managers.
Customer Support: Provides high quality customer assistance, problem resolution, and documentation.
Greets callers and guests in a prompt and professional manner.
Properly routes messages or calls to appropriate areas.
Follows up on routed messages or calls.
Manages telephone inquiries.
Interfaces with outside agencies.
Development: Maintains current knowledge and develops new knowledge.
Works with supervisors to identify learning needs and takes action to address those needs.
Attends hospital sponsored training programs as required by the department.
Completes all mandatory requirements within allotted timeframe for completion (PPD, Competencies, Age Specifics, etc.)
Organizational knowledge: Works effectively within and between departments
Participates on inter-departmental teams and committees, communicating unit knowledge.
Provides department/unit with information and knowledge acquired during participation with interdepartmental teams and committees.
Demonstrates a constructive approach during all interactions with staff, supervisors, and managers both inside and outside the unit.
