Summary of Job description:
The Front Desk – Admissions Coordinator position is responsible for greeting campus visitors, answering incoming calls, taking phone messages and distributing messages to staff members while performing other administrative tasks.
This position requires a pleasant and energetic demeanor with great phone manners and the ability to organize and prioritize tasks and pay attention to details in a fast-paced office.
Role and Responsibilities
Key Job Elements:
Greet students, staff and visitors in a friendly and enthusiastic manner
Answer incoming calls and transfer as necessary, as well as take and distribute phone messages for campus staff
Distribute incoming mail and monitor and process outgoing mail daily
Retrieve and distribute incoming faxes and send fax documents as needed
Coordinate pick-up and delivery of UPS, Federal Express and other services, as requested
Ensure all forms are properly maintained, stocked, and updated as needed
Maintain front office and lobby is neat and orderly
Assist in processing office supply orders for all departments / programs
Review and enter new student lead data in CampusVue or Other software which Admissions department using.
Provide administrative support to admissions director and students
Uphold the highest levels of professionalism and ethical conduct
Perform other duties as necessary

Meeting with Admissions Team
Entering new inquiries
Run CampusVue reports for Director of Admissions.
Order high school and college transcripts for new students.
Enroll student’s information in CampusVue database.
Report all issues and concerns to supervisor.
Greet students, staff and visitors.
Contact and order high schools’ transcripts for new applicants.
Enroll applicants with CampusVue as needed.
Enter new inquiries in the systems.
Email and Call students about class schedule
Confirm Orientation Date
Remind students first day of school
Assist with Open House & Workshop & Outreach/Campus events
Assist with Orientation set-up.
Weekly Meeting with Admissions Team
High School diploma required, Associate degree preferred
Minimum one-year experience in office administration
Ability to make decisions in accordance with established college or state policies and make appropriate decisions or recommendations
Ability to work without direct supervision
Advanced levels of Microsoft Office knowledge and experience
Bi-lingual is highly preferred
