We are looking for an experienced office manager. The ideal candidate will have experience working as an office manager in a law firm setting. Must be a self-motivated individual who will actively participate in the management of the company’s daily office life.

  • Office Management: 3 years

Role Requirements:

  • 3+ years of proven Office Management experience
  • Experience with MyCase Management Software is a plus
  • Excellent knowledge of MS Office tools (Excel, Word, Outlook, etc.)
  • Answer phone calls
  • Schedule appointment for Managing Partner
  • Act as a liaison between Managing Partner and staff, contractors as well as vendors
  • Excellent written and verbal communication skills – knowledge of Polish or Spanish is a plus
  • Great attention to detail
  • Send invoices to customers as needed
  • Ability to problem solve and rapidly shift priorities in a fast-paced environment
  • Demonstrate strong leadership and team building skills
  • Effectively implement directives, policies, and procedures
  • Maintain efficient operation of the office to achieve performance goals
  • Effectively coach and resolve staff and client issues
  • Proven track record of providing excellent customer service to clients and visitors
  • Mail management: receive and sign for all receiving mail and packages
  • Responsible for the tidiness of the entire office (open space, kitchen, storage rooms)
  • Welcome visitors to announce them as needed
  • Processing and obtaining approval of employees PTO in coordination with Managing Partner
  • In charge of office announcements (new hire, departure, internal changes…) & maintenance of email distribution lists
  • Responsible for the office supply stock levels

Job Type: Full-time

Salary: $35,000.00 to $40,000.00 /year
