BASIC PURPOSE OF POSITION:
To maintain employee Payroll/HR files for US payrolls and process payrolls for US. Position is full-time (40 hour workweek) with overtime during peak seasons.
Minimum five years experience maintaining Payroll/HR files and processing payrolls.
High school education or equivalent.
Ability to work independently, solve problems, accept responsibility for assigned duties and willingness to expand knowledge.
Is willing to work overtime as needed, especially during peak payroll season.
KNOWLEDGE, SKILLS AND ABILITIES:
Experience with Ultipro software preferred (not required)
Knowledge of overall payroll process and affect on accounting
Ability to problem solve
Ability to work with Excel worksheets.
Basic knowledge of Payroll principles and practices including knowledge of federal and state laws
Solid verbal, written and interpersonal skills.
Able to maintain confidentiality.
Able to complete a variety of tasks in an organized manner.
Ability to work independently and participate in a team environment.
ESSENTIAL FUNCTIONS OF THE POSITION:
This position is primarily responsible for assisting in the administration of the corporate payroll processes. It is also responsible for assisting in the administration of the company’s human resources/benefits and answering questions and resolving issues which may arise in the field.
Functions include (but not limited to):
Overall knowledge of payroll process including calculations, processing, software, reports, and problem solving for the U.S.
Process the Corporate Payroll, including entering or checking new hires/maintenance, gathering timesheets and preparing for import into the system, creating and sending DDA file to bank, printing check and DDA’s, sending reports to the locations sending the 401k file for processing to Prudential, distribute checks and DDA’s as specified by location
Process location payrolls including creating and sending DDA file to bank, printing checks and DDA’s, sending reports to the locations, sending 401k file for processing to Prudential, and distributing checks and DDA’s as specified by location.
Assist in preparation and/or review of all tax payments and reports (next day, monthly, quarterly, and annually). This includes all federal, state, and local withholding taxes, federal and state unemployment taxes, and all related tax returns.
Handle garnishments, benefit payments to vendors, and 401k deposits.
Assist in the Year End Process for the US which includes coordination, processing and filing of W-2's for the Corporation, annual federal, state, and reconciliations, and completing all steps of the Year End Checklist.
Provide ongoing assistance and support to users of the Ultipro Software. This includes trouble shooting and problem solving.
Create payroll reports as required and balance expatriate figures to Finance/accounting (monthly).
Preparation and distribution of W-2 copies for current year or past years upon request.
Enter all changes related to 401(k) plan as submitted by vendor.
Prepare, balance and distribute reports as required
Maintain car logs and calculation of imputed car income 2 times per year for tax purposes.
Perform New Hire reporting for US.
Process NEI invoices received. Forward information to Accounting, A/P and appropriate personnel.
Monitor Payroll mailbox - responsible for daily requests from locations and forwarding to appropriate person when needed.
Assist in coordination of the pay card program, maintain relations with the third party vendor as well as initiate ways to increase participation in this program.
Perform/participate in various projects and other duties as assigned by the Payroll Supervisor and/or Total Rewards Manager.
Assist Payroll Supervisor when needed.
Be responsible for filing for the Total Rewards Dept.
Update and maintenance of the PDR and SAP systems.
Assisting with administration of Executive Compensation Plans (SAR, PSP, LTIP)
