Under the supervision of the Director of Member Services, the Receptionist/Administrative Support position provides a wide variety of secretarial and administrative support to all Trust departments.
Essential Duties and Responsibilities of the Position:
Greet members, visitors, and vendors at front reception desk;
Answer main telephones to direct calls or provide general information;
Open, sort and distribute daily mail;
Assist Workers’ Compensation Trust with day-to-day administrative tasks including providing adjuster information to callers; setting up initial workers’ compensation claims, scanning documents, entering payments, mailing claim packets, etc.;
Print and organize Workers’ Compensation Trust medical records for IME defense counsel as needed;
Prepare handouts and compile training certificates for Trust training programs as needed;
Track and maintain office equipment supplies including paper supplies, and fax and copy machine cartridges on an on-going basis;
Assist all departments in an administrative function as needed;
Exercise independent judgment and initiative and carry out job functions with or without direct supervision;
Work effectively under time constraints to meet deadlines and manage a number of different tasks concurrently;
Work accurately and with attention to detail;
Maintain privacy of confidential records, correspondence and/or files;
Communicate effectively in writing, orally, and with others to understand and convey information, in a manner consistent with job functions;
Establish and maintain effective working relationships with co-workers, Trust members, etc;
Carry out job functions without posing a health or safety threat to self or others;
Maintain acceptable attendance standards.
High school diploma or GED and at least three years of experience as a receptionist and/or in administrative support role; or
Associate’s or bachelor’s degree in business administration, insurance or other related coursework with at least one year of experience as a receptionist and/or in an administrative support role; and
Proficiency with Microsoft Word, Excel, Powerpoint, Access and Outlook;
Knowledge of office administration practices and procedures;
Knowledge of principles and processes for providing high-quality customer service;
Ability to interact with Trust employees, members, vendors, etc. in a professional, courteous and patient manner;
Strong organizational skills with ability to multitask and work independently;
Strong communication skills are required;
Operate office equipment including but not limited to: computer, printer, copy machine, fax machine, etc.
Ability to pass employment screenings (criminal background, motor vehicle and substance abuse).
