OASIS Job Title: Human Resources Representative Exempt
Represent the Human Resources Office (HR), in a professional manner, as first point of contact for those entering the Office. Serve as the main receptionist for HR office answering phones, taking messages, responding to general inquiries. Handle daily incoming and outgoing mail and distribute it appropriately. Oversee maintenance of office equipment and process work orders when problems arise. Maintain forms center in office and on the web.
Provide administrative support to the Director of Human Resources & Development (DHRD). Prepare, draft and follow through on forms, correspondence, reports and documents for the DHRD.
Provide assistance to DHRD for developing, planning and scheduling meetings, training, professional development activities, and special events. Assist in the development and implementation of training programs in support of operational and strategic goals of the HR function or HR office to which assigned. Provide clerical support to the professional development committee.
Perform various data collection to assist the DHRD with research of current trends, wages, training needs, and program improvements.
Assist with the hiring process. Maintain job applicant system. Prepare job announcements, job descriptions, view applications for minimum qualifications, enter resumes into system as needed, copy resumes, and mail correspondence to prospective candidates and unsuccessful candidates. Maintain job files and EEO records. Assist with affirmative action plan. Schedule interviews as directed by the DHRD . Assist with monitoring of applicant testing program as needed. Conduct reference checks as directed.
Assist with job description development, evaluations, tracking and filing. Conducts job audits and recommend to DHRD classification of jobs as requested.
Prepare employment notifications, wage increase notifications, appointment letters, and overloads for DHRD review and approval using current system of record. Complete employment verification forms.
Coordinate and maintain all background checks.
Conduct new employee orientation. Prepare employee ID/Access cards.
Prepare and monitor all state approval hiring documents for DHRD review and approval.
Add new employees to systems of record.
Keep employee activity log up to date.
Assist DHRD with the review of existing and new rules, regulations, policies and procedures by conducting legal research on necessary authority references to ensure compliance. Draft and format rules, administrative procedures, and policies.
Update and maintain employee reference manual. Research, write, edit, prepare and update various informational materials for publication. Provide employees with accurate information in reference to rules, regulations, policies and procedures.
Assist DHRD with Family Medical Leave tracking and recordkeeping.
Conduct regular audits of employee files and follow up as necessary to ensure employee files are complete and up to date.
Assist DHRD with reports and publications that are maintained by the HR office.
Maintain credential files for HLC accreditation and visits.
Provide assistance to employees with workers compensation claims and workplace injury forms. Prepare workplace injury and return to work packets. Submit claims as directed by the DHRD . Maintain workers compensation electronic files.
Serve as the benefit coordinator. Provide assistance to employees and prospective employees in completing employment forms, and benefit enrollment forms. Plan and coordinate the annual employee benefit fair. Provides information to and corresponds with employees, retirees, and survivors of deceased employees or retirees on aspects of their retirement plans such as eligibility and continuing health insurance coverage. Provide benefit information to employees on a regular basis.
Serve as a liaison to various vendor agencies regarding employee questions/concerns. Assist employees with such contacts as needed.
Maintain HR filing including active and inactive employee files/storage in an organized efficient manner at all times. Scan documents for electronic filing in active and inactive electronic personnel files and other storage systems.
Maintain schedule of annual events. Coordinate as directed.
Serve as primary P-card holder for HR Office. Responsible for placing approved orders, paying with p-card and completing all required and necessary documents.
Coordinate student employment. Maintain updated department employment opportunities list. Communicate with students who are eligible and interested in work-study employment. Assist student's complete work-study application form and forward to proper department for possible employment. Prepare reports as needed.
Send probationary period evaluations to supervisors as needed for three and six month evaluations. Assist with coordination of annual evaluations.
Performs other duties as assigned.
