Position Description

The Sr. Administrative Assistant (Cust Svc/Sales) works under the general direction of the District Branch Services Manager/District Sales Manager providing a wide range of administrative support to the (Cust Svc/Sales) teams by efficiently and effectively executing department/operational procedures and processes to help meet business objectives.

Provide superior customer service and ensure all incoming inquiries are handled in a timely manner, whether from outside customers or from internal business partners.
Manage calendars, arrange travel, and schedule meetings and appointments.
Prepare and submit expense reports for manager.
Coordinate, arrange, and participate in department functions such as training, conference calls and departmental meetings.
Negotiate costs for meeting venues, lodging, and catering. Responsible for the communication of information to all participants.
Prepare standard and special reports following general directions in a timely manner.
Analyze, track, and reconcile all departmental expenses.
Process all activities associated with New Hires and Terminations according to the predetermined checklists.
Assist manager with procedures in SAP Manager Self Service (MSS), HRP, SRM, T&E.
Provide training to newly hired employees on administrative tasks.
Create and maintain rosters and distribution lists for e-mail and voicemail communications.
Draft write, modify, and distribute business correspondence as needed.
Process invoices for payment using the SRM tool in SAP.
Maintain departmental records.
Participate in special teams/projects as needed.

Position Requirements:
High School diploma; plus additional educational experience or equivalent work experience, together with 3 to 5 years of administrative / sales or operations assistant background.
Demonstrated ability to handle multiple projects and priorities and to show initiative.
Must have excellent interpersonal and communication skills (verbal, written, and phone).
Ability to obtain a detailed knowledge of business operations, organizations and relationships involved at the field management levels.
Ability to develop a thorough understanding of departments and appropriate company policies, procedures and operations.
Ability to prioritize and organize; have a customer service orientation; self-directed and motivated.
Proven ability to type 50-60 wpm and proficiently use Microsoft Office: Word, Excel, PowerPoint, and SAP, with ability to learn other software as needed.
Ability to organize company meetings and events.
