The Recruiting Assistant position is a part-time administrative role and will provide critical day-to-day support to the Recruiting team. He or she will assist Recruiters with scheduling interviews, preparing interview materials, scheduling travel, posting jobs, creating offer letters and managing onboarding of new hires. He or she will also provide daily back up support to the front reception desk on our main campus.

Essential Job Functions Responsibilities:
Post requisitions in Applicant Tracking System (Taleo®).
Advertise jobs on external job boards.
Schedule onsite interviews for hiring leaders.
Manage multiple calendars.
Arrange travel accommodations and lunches as applicable.
Send correspondence to candidates in process.
Prepare materials and interview folders for Leaders.
Provide lunch coverage daily to the front reception desk.
Greet all guests upon arrival.
Maintain visitor log for security.
Answer main phone line and appropriately dispatch calls.
Create candidate offer letters, relocation agreements and other offer related materials.
Initiating the hiring process in Human Capital Management System (Workday®) and document important candidate/new hire information.
Coordinate candidate pre-employment drug screens and background checks.
Communicate regularly with hiring leaders to provide updates.
Assist with new hire paperwork and employee folders.
Prepare expense reports, check requests, purchase orders and other documents for accounting.
Act as a representative for the company to applicants, Partners (employees) and customers.
Provide back up support to other coordinators within HR when necessary.
Pull and/or prepare reports and presentations.
Other work items and projects as assigned.
High School Diploma required. Bachelor’s Degree preferred.
Prior experience providing administrative support, or a position of equivalent responsibility required. Recruiting or HR related experience is a plus
Computer proficiency in Microsoft Office products and an ability to and interest in learning other technologies quickly.
High attention to detail and strong organizational skills.
Strong sense of urgency and ability to multi-task.
Strong verbal- and written- communication skills.
Ability to work with and maintain confidential information.
High level of professionalism. Ability to interact professionally with individuals at all levels in the organization including senior executives and customers.
Ability to work Monday through Friday from 12-5pm or as discussed and agreed upon with Manager of Talent Acquisition; ability to work additional hours if needed.
Valid, unexpired driver’s license with a good driving record
