Under general supervision, performs a variety of clerical support activities for the maintenance of the City's police records system.
Retrieve and verify case/incident information in the police records system; research records of arrest, convictions, traffic violations, and traffic accidents for dissemination purposes.
Conduct entry of traffic violations and other assigned reports into the police department database.
Respond to inquiries from law enforcement agencies and officers, justice courts, citizens, and other agencies; disseminate reports in accordance with state statutes and Sierra Vista Police Department (SVPD) policies.
Answer incoming calls on a multi-line phone system; refer calls to appropriate personnel via phone system, email system, or through Spillman Message Center.
Direct and assist citizens with a variety of requests, concerns, or questions.
Process payment for reports, fingerprint cards, and vehicle impounds using the city cashiering system.
Assist co-workers with additional duties as needed or assigned.
Knowledges, Skills & Other Characteristics: Knowledge of:
English grammar and spelling
Public records statutes and confidentiality requirements of police records and information
Authorized persons and extent of authorized information release
Policies and procedures of the Police Department
Department computer software for Spillman
Skill in or Ability to:
Typing 50 words per minute
Proofreading and editing for grammar and spelling
Searching for and retrieving data from the records system
Accurately entering and verifying data and information into the police records system
Using tact and diplomacy with diverse persons
Establishing and maintaining effective working relationships
Understanding and following written and oral directions
Operating a variety of equipment and software, including the city cashiering system, computer terminal, telephone, fax, copy machine
Working in a fast-paced environment with multiple demands
Using judgment when releasing reports or referring or assisting customers
Education & Experience Requirements:
Graduation from high school or GED.
Two (2) years general clerical office experience, OR completion of post high school course or program in Office Management or closely related field may substitute for the experience.
50 WPM Typing Certification (5 minute test completed within six months prior to application).
Written exam passing score 70%
Sierra Vista Police Department Civilian Minimum Requirements:
Candidates must be a minimum of 18 years of age.
Candidates must possess a high school diploma or GED.
Candidates must submit a typing certification (original required) indicating a minimum of 50 net words per minute. Certification must be obtained within the previous six months from submitting an application for employment.
After a conditional offer of employment, candidates must pass a hearing examination as determined by an audiologist.
Candidates must not have been convicted of a felony or any offense that would be a felony if committed in Arizona.
Candidates must not have been convicted of a misdemeanor criminal offense involving moral turpitude in Arizona, nor in any state or federal jurisdiction, where the commission of such a criminal offense would be a misdemeanor as defined by the Arizona Revised Statutes.
Candidates must not have been dishonorably discharged from the United States Armed Forces.
Candidates must not have:
used marijuana within the past three (3) years,
used marijuana other than for experimentation; the use of marijuana is presumed to be greater than experimentation if the use exceeds twenty (20) times total, or exceeds five (5) times since the age of 21 years,
sold, produced, cultivated, or transported marijuana for sale.
Candidates must not have:
used drugs other than marijuana within the past seven (7) years,
used such drugs other than for experimentation; the use of drugs is presumed to be greater than experimentation if the use exceeds five (5) times total, or exceeds one (1) time since the age of 21 years,
sold, produced, cultivated or transported for sale any such drugs.
Candidates must not have a pattern of abuse of prescription drugs.

Candidates must demonstrate that they are mentally and emotionally capable of executing the position requirements. Employees are expected to possess high moral standards, work well in a team effort setting, possess functional verbal and written communication skills, be willing to abide by all Department rules, policies and procedures, and work on a rotating shift schedule.

Applicants must be able to pass a background check which may include but is not limited to: criminal records including fingerprints, drug testing, financial/credit records, driving records, education, employment history, references, military service (DD214) or medical exams.
This position is subject to pre-employment, promotion, transfer, demotion, reasonable suspicion and work related vehicle accident drug and alcohol testing in accordance with City policy.
All applicants must submit an original 50 net words per minute typing certification. Certification must not be older than 6 months. The test must be for 5 minutes with one word per minute deducted for each error. The City of Sierra Vista does not accept internet typing tests. Submit original certificates to Human Resources, 1011 N. Coronado Drive, Sierra Vista, AZ, 85635.
The City will not accept internet or self administered certifications. Typing tests/certifications are available through the Arizona @ Work (458-9309) 2600 E Wilcox Dr or Cochise College Testing Center www.cochise.edu/testing. There may be a nominal fee. You may also obtain a typing test/certification from any other employment service organization that administers in-person timed certified typing exams.
Civillian Police Applicant Background Questionnaire and Tip Sheet, (required for Police Department employment) can be downloaded from the websites below or you may pick up a copy at Human Resources. Applicants who are selected to continue, will be required to submit the Background Questionnaire and required documents to Human Resources as soon as possible in order for the hiring process to continue.
