The Administrative Assistant will provide administrative support to the Senior Leadership as part of a dynamic team in the Finance Administration Office. The candidate will be able to multi-task, prioritize tasks and be responsible to the large number of time sensitive requests that comes across daily. Candidate should be a creative and independent thinker and able to anticipate the needs of the Finance Officers. A positive and friendly disposition and strong computer skills are a must.

Responsibilities

  • Acts as a liaison between the Department and other administrative departments to coordinate and resolve various day-to-day administrative and operational problems.
  • Responsible for the office administration and office record keeping activities of the department.
  • Assists with all aspects of administrative management, directory maintenance and logistics.
  • Functions as the Department receptionist, Greet and welcome clients and visitors and refer them to the appropriate individual.
  • Coordinates employee time sheets including distribution, collection and maintenance of time sheet copies and distribute payroll checks.
  • Manages inventory of supplies and submit timely requests of items to be ordered.
  • Types memorandums, reports, and minutes, correspondence, forms and other written communications.
  • Assists with the preparation of presentation materials and coordinate meetings, conferences, and IT trainings.
  • Answers multi telephone lines, take messages, and route calls to the appropriate individuals.
  • Maintains calendars.
  • General oversight of reception and performs general office support and other related duties as required.
  • Adheres to strict confidentiality and information privacy requirements.

Minimum requirements

  • Bachelor’s degree preferred.
  • 2+ years of administrative experience providing executive support.
  • Excellent communication skills and able to work in a collaborative, team-orientated environment.
  • Proficient in MS Office Suite. (Word, Excel, PowerPoint)
