Major Duties and Responsibilities

  • Controlling the PM’s schedule with authority to commit the PM’s time;
  • Prepare meeting agendas, progress reports, and relevant reports as required
  • Distribute meeting information to all meeting participants, when hosted by the OM;
  • Attend meeting with the PM and transcribes meeting minutes;
  • Review incoming email and composes correspondence on own initiative based on knowledge of OM’s views and previous actions on matters, for review by the POM
  • Review correspondence and other documentation prepared for the PM’s signature to ensure compliance with policy and procedures’
  • Monitor the status of these request and conduct all necessary follow-through activity;
  • Support and administer all project documentation through Procore or others;
  • Manage and maintain file structures within project management software and updates accordingly;
  • Support invoice/deliverable oversight of the PM
  • Assist the PM preparing reports, presentations and other documentation, as needed, for WMATA, media outlets, and outside agencies; and Other duties as assigned by the PMBackground and Experience Required
  • High school graduate with minimum of 7 year’s experience in office management activities that involve providing administrative support within a diverse organizational entity;
  • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint, SharePoint, etc.) For Example:
  • Excel: Experience with managing and analyzing large datasets in Excel (e.g., thousands of row), developing graphics, and using basic Excel functions;
  • Word: Experience with using all Word formatting capabilities (e.g., styles, sorting, etc.), working off templates, editing (tracked changes), as well as advanced functions like merging documents and comparing versions;
  • PowerPoint: Experience with developing high-quality professional PowerPoint decks, working off templates and master slides, and editing (comments);Proficiency in proofreading the work of self and others with a high degree of accuracy; and
  • Ability to work evening (uncommon) and weekends (rare) as necessary
