The Executive Assistant to the President & CEO will manage a wide range of support functions. The ability to interact with Board Members, executives, employees and clients at all level. The primary responsibilities of the executive assistant will include such tasks as preparing reports and presentations, screening calls, and managing budgets and other financial matters. You will be responsible for coordinating projects that may involve working with all levels of internal management and staff. The executive assistant will also be responsible for managing the executive’s calendar and meetings, making arrangements including airline, hotel, and rental cars., conduct internet research to keep the executive up to date on things that are important to the company. In addition to these duties, the executive assistant may also be responsible for supervising lower level staff such as receptionists or secretaries where applicable. A high degree of professionalism and confidentiality is crucial to this role.

Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
Articulate clear and persuasive communication, both verbally and written
Perform administrative support at an executive level
Manage technical and specialized work methodically and efficiently, meeting work demands and deadlines.
Prepare internal and external corporate documents for board, team members and industry partners
Schedule meetings and appointments and manage travel itineraries
Arrange corporate events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events
Maintain an organized filing system of paper and electronic documents
Uphold a strict level of confidentiality
Develop and sustain a level of professionalism among staff and clientele
Provide administrative support including coordinating logistics, schedules and travel arrangements
Prepares and submit communication materials for Board and Executive Team meetings
Be proactive and flexible as schedules and priorities shift
Ability to work a flexible schedule as needed to complete time sensitive or special projects
This position executes a variety of routine and complex administrative duties in support of the day-to-day operations of the president and CEO.
Provides calendar and meets daily with CEO to review schedule; ensures that materials for meetings are received on a timely basis and are relevant, complete and accurate. Detailed and thorough planning of logistical arrangement for travel providing all required documentation including printed planned activities, directions, etc.
Perform any other department or agency related duties or special projects as directed by the CEO
Board of Directors Duties:
Coordinate and disseminate Board communications.
Schedule and set-up (including ordering food) for all Board meetings/functions.
Prepare Board materials.
Serves as a liaison to Board members, providing assistance as required.
Takes Board meeting minutes as required.
Oversees arrangements and attends Board Annual Retreat.
Minimum Education and Experience:
The Executive Assistant will have to exercise considerable discretion and independent judgment when making decisions and interacting with associate, clients, Board of Directors, and others.
Excellent telephone skills – must speak clearly and concisely with all who phone the CEO’s office.
Excellent writing skills – good grammar, punctuation, and sentence structure.
Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
Proficiency in collaboration and delegation of duties
Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
Exceptional interpersonal skills
Friendly and professional demeanor
Seasoned level (3-5 years) of comparable executive administrative experience; Bachelor’s degree preferred.
Perform at a very high level Executive Assistant
Excellent problem solving, decision making, organization and time management skills.
