Join one of the fastest growing alternative healthcare companies in downtown Madison. The position is part time (roughly 20 hrs/weekly) with the opportunity to go to full time (40 hrs/weekly) contingent upon completed training and business need.

Current hours would be three days a week with one of those days being an alternating Saturday.

Responsibilities:

Office Management (40%)

  • Represent the company with the highest professional and ethical standards in dealing with both clients and coworkers
  • Maintain the highest level of confidentiality for all company and patient information; properly store information
  • Assist with scheduling internal and external meetings for Business Manager using an online calendar
  • Create, maintain, and update internal policies, including HIPAA compliance
  • Assist the marketing director or manager with print promotions, and internal communications
  • Prepare for external promotions and special events to attract new clients
  • Implement ongoing client contact with memberships and following up with client retention
  • Actively participate in team meetings; contribute to a productive working environment
  • Manage small team of entry level employees; coordinate training for new employees as needed.

Administrative Support (30%)

  • General administrative duties include: typing, filing, copying and faxing documents, handling mail distribution, and preparing information for meetings
  • Respond to requests and gather information for insurance claims
  • Manage correspondence with current and future clients; respond in a timely manner
  • Take clients' payments in person and over the phone
  • Maintain client data; keep client data up to date
  • Maintain product inventory, stock reception desk and order more product or alert Business Manager when necessary

Reception (30%)

  • Greet clients
  • Answer phone, direct calls as appropriate, and check and respond to voicemail
  • Schedule and re-schedule appointments; follow up with clients as necessary
  • Take clients' payments in person and over the phone
  • Operate point of sale (POS) system
  • Maintain a clean and welcoming space including reception desk, main lobby, hallway, bathroom, and sauna
  • Operate washer/dryer and fold sheets and towels

Qualifications

  • Highschool diploma/GED
  • 1-2 years of experience in a professional business environment
  • Experience in healthcare or related industry
  • Proficient in Microsoft Word and Exel
  • Experience with general office equipment, computers, wireless devices, etc

Job Type: Part-time

Salary: $15.00 to $18.00 /hour
