The growing office of Kaufman, Dolowich & Voluck, LLP is seeking candidates with experience as a Receptionist/Legal Assistant to join our dynamic team.
The receptionist serves an integral role as the "face/voice" of KDV for potential and existing clients and carriers. This individual is responsible to serve callers and visitors by responding promptly through greeting, welcoming, and directing them appropriately.
Essential Job Functions:
Welcomes visitors/clients by greeting them, in person or on the telephone; answering or referring inquiries promptly.
Answers Receptionist/front desk voice mail messages and respond appropriately.
Directs visitors by maintaining employee and department directories; giving instructions and referring inquiries to appropriate personnel.
Maintains safe and clean reception area.
Maintains confidential information in a professional and trustworthy manner.
Sorts and distributes all in-coming mail ( i.e., USPS, FedEx, UPS) and ensuring mail documents are loaded in firm system and distributed to attorneys.
Assists office operations by weighing outgoing mail and providing postage stamps for various staff members when needed.
Reserves/books conference rooms and keep rooms tidy by helping with cleaning and room prep.
At request of attorneys and supervisor, provide follow up and interact with clients, outside counsel and others.
Prepares, edits and proofreads a variety of documents, e.g. correspondence, agreements and pleadings. Manages and assists with complex document production.
Provides legal assistance and administrative support to assigned attorneys.
Assists administrative staff/paralegals with overflow work, as requested by Office Manager.
Works with Compulaw, NetDocs and other systems to perform administrative work.
Contributes to team effort by accomplishing related results as needed.
Ensures coverage when stepping away from reception area.
Places food orders for catered office events.
Assists with travel arrangements for attorneys.
Other duties, as needed, to support KDV and office operations.
Strong verbal and written communication skills.
Computer proficiency (MS Office - Word, Excel and Outlook). Must have intermediate to advanced technical skill in Microsoft Office; NetDocs
Excellent organization skills.
Ability to work in a busy office, while maintaining a positive attitude and providing exemplary customer service.
Ability to work independently and to carry out assignments to completion with limited guidance.
Must be able to work in a team environment and maintain positive and productive relationships with co-workers and vendors.
