This position provides administrative support to the Office of Residential Life under the direct supervision of the Director of Residential Life. The Front Desk and Residential Life Operations Assistant is the first point of contact and is responsible for assisting in the planning, management, and operations of all housing processes. The position requires strong customer-service skills, assertive leadership and communication skills and the ability to work on a team. In addition, this position takes appropriate actions to support a diverse workforc e and participates in efforts to create a respectful, inclusive, and welcoming work environment.
Welcome visitors and answer phones; providing information/answer inquiries.
Respond to all email/voice messages in a timely manner
Monitor Residence Life webpage
Provide administrative support within the central office
Direct visitors by maintaining employee and department directories
Answer, screen and forwardsincoming phone calls
Receive and sorts daily mail
Housing Operations Support
Work closely with the Bursar's office for student billing
Assist Residential Life staff with all work orders requests and submission
Assist with the organization and coordination of the move-in/move-out process
Report maintenance issues to Facilities
Manage work orders submission in School Dude in a timely manner
Assist with keys and all lock changes
Conduct furniture and appliances inventories on a regular basis
Report damages and assist with the damage billing process as necessary
Manage damage billing and appeals processes with students.
Manage oversight of the work order system and completion of work orders in collaboration Facilities Department
Assist in the tracking all Health and Safety Inspections as determined by the Area Coordinators and other residence life staff
Maintain all appropriate documentation related to housing & residence life (i.e., work order reports)
Help the Associate Director of Residence Life with room turn overs and building preparation for summer and academic-year housing
Conduct assigned responsibilities associated with checking in/out of students and other administrative processes related to early arrivals
Assist in the coordination of hall opening and closing procedures at the beginning and end of each semester
Must be able to perform all responsibilities and functions of the position
Possess assertive leadership skills and ability to work in a team setting
Possess effective communication skills in order to successfully perform work orders and tasks within the team.
Strong customer service skills (must be easily approachable, friendly, and able to establish rapport and communicate effectively with students, parents, and other stakeholders)
Ability to use authority with discretion and exercise good judgment.
Commitment to and experience in working within a diverse community
Bachelors Degree preferred
2-3 years of related experience in higher education or relevant experience
Proficiency in Microsoft Word, Excel, Powerpoint, and Outlook Email/calendaring system,knowledge of Dropbox and Quip
Previous School Dude, Workday, Maxient, Adirondack Housing Director, and Banner software experience a plus
Strong written and verbal communication, interpersonal, organizational and time management skills
