Administrative Assistant-Contracts Department

General Purpose

We are looking for a team-oriented, highly motivated individual to perform all general purpose duties within the Contracts Department.

Job Duties

1. Set up new maintenance contracts/renew expired contracts

2. Obtain meter readings on copiers and printers via telephone, email, reporting software, etc.

3. Generate monthly, quarterly or annual maintenance contract invoices

4. Review all maintenance invoices for accuracy

5. Handle incoming customer queries in regards to maintenance agreements

6. Cancel maintenance agreements/Prorate account accordingly while following the company maintenance cancellation procedures

7. Follow up with customers when maintenance lapses to obtain new Purchase Order/Continue Agreement

8. Liaison between various vendors and customer base

9. Scanning/Indexing/Filing in Electronic Filing System

Skills and Qualifications

1. Minimum 1-2 year experience in Customer Service/Billing

2. Detail oriented

3. Ability to work under pressure and meet deadlines

4. Self-motivated

5. Basic computer skills

6. Proficient at Excel and Outlook

7. Good time management

8. Exceptional written and verbal communication skills

9. Organized

10. Capable problem solver and sensible

11. Positive attitude

12. Good work ethic

13. Ability to work independently as well as part of a team
