We are an international export company that is seeking the ideal personnel to assist our clients with quotes. The role will include customer service, organization and clerical tasks including managing incoming emails, rolling phone calls, preparing estimates or quotes and contracts, and data entry.
Job duties include:
- Receiving emails from our customers
- Find supply and vendors to submit the RFQ
- Interact with the suppliers on a day-to-day basis by email or telephone
- Obtain pricing from our company's approved vendor's list or new vendors
- Maintain an orderly filing system
- Develop and maintain long-term vendor/supplier relationships to ensure strong alignment, identify trends proactively and to consistently keep lines of communication open
- Conduct research and analysis to negotiate best cost for existing and new purchase items.
- Negotiate with existing and potential vendors for best pricing terms and delivery.
- Prepare client quotes according to the company guidelines and format
- Submit the formal quote to the customer
- Maintain communication with customer to assist in any questions regarding the quote
- Contact the supplier if there is any disagreement regarding the merchandise received (returns, damages, etc.)
- Perform additional tasks that may be required to support the procurement team
Qualifications
- Strong attention to detail and accuracy
- Ability to work in Microsoft Excel
- Previous clerical or administrative experience in an office setting
