There are three major components to the role of Receptionist / Meeting Coordinator
Receptionist for Investment Management department
Broker Meeting Coordinator
Administrative back-up to the Administrative team
This position will be Part time while we are working virtually due to Covid-19 and will go to Full time status when we return to our offices.
Major Responsibilities of the Receptionist:
Greet, direct and coordinate all visitors to the Kansas City Investment Management department across three floors, according to business, service or delivery. Contact appropriate parties to notify them of visitor arrivals. Provide direction to visitors to assigned conference rooms and inquire as to any special assistance required. Offer refreshments to guests.
Set up and maintain conference rooms throughout the day, preparing each room for the next incoming meeting. At the end of the day, ensure that each room has been restocked with supplies. Arrange timely delivery of meals in advance of breakfast and lunch meetings.
Develop & oversee events, scheduling, meal planning, and all other meeting related tasks.
Greet and assist with all meetings (ie. board meetings, client meetings & management meetings).
Maintain & order supplies as needed for the break room & copier.
Serve as the liaison between the department and other departments including legal, facilities, cafeteria personnel, mailroom, & security.
Connect meetings across all locations using telecommunication systems.
Serve as department contact for ACI VIP program: Volunteers with Impact & Purpose (VIP), American Century’s employee volunteer program, supports charitable organizations by pooling the time and talents of our people to improve the communities where we work.
Major Responsibilities of the Meeting Coordinator:
Receive and coordinate all incoming requests for Investment Management meetings involving broker/analyst, and management as necessary, create electronic invitations, organize responses and follow up with brokers to accept proposed meetings. Maintain master calendar and calendars of each ACIM team member arranging schedules to accommodate multiple meetings .
Generate a daily and weekly calendar.
Administrator of the Company Broker database and reporting functions of the Broker Vote. Update & maintain broker interactions through the One Access database.
Maintain quarterly reports summarizing the number of meetings held in our office and at conferences.
Collaborate closely with MV/NY broker meeting coordinators to ensure optimal meeting outcomes.
Generate ad-hoc reports as requested by department CIO’s.
Major Responsibilities of the Administrative back-up support:
Provide back-up administrative support for the Portfolio Advisory Group (PAG) database.
Provide back-up assistance to members of the administrative team.
Ensure team members are equipped with all necessary information with respect to company and broker meetings requests. Supply accurate information electronically and by phone.
Manage the meeting process so to ensure effective coordination and availability of key ACIM participants
Interact with ACIM clients & guests in a professional and service-oriented manner.
Continue to learn and grow professionally. Strengthen current skill set and utilize time management skills.
Maintain company/visit files. Update excel logs and meeting calendar daily, communicate any relevant changes.
Willingness and ability to collaborate across all locations, departments and teams.
Highly motivated, upbeat and adaptable.
Detail oriented - accuracy and attention to details a requirement.
Interpersonal skills – demonstrates maturity, builds constructive and effective relationships, is diplomatic and uses tact.

Education & Experience
High School diploma/GED required, bachelor’s degree or working towards bachelor’s degree preferred.
Language skills: familiarity with foreign cultures a plus but not required.
Demonstrate solid understanding of Microsoft Products.
