ABOUT THE ROLE
Seeking a dynamic, organized, and proactive Executive Administrative Coordinator who enjoys working in an exciting and fast paced environment. This position will report to the CEO and will provide general administrative support to executives while coordinating administrative and office management activities to ensure offices operate efficiently and smoothly.
RESPONSIBILITIES
- Support CEO and functional executives in managing schedules and communications, gathering documents to prepare for meetings, and coordinating travel arrangements, as needed • Provide logistical support: coordinate conference room reservations, equipment reservations, package shipments, and onsite guest visits • Coordinate Board of Directors meetings, weekly executive team meetings, and monthly all-hands meetings • Assist with corporate files as needed, including external & internal presentations and meeting materials • Assist in filing, tracking, and delivery of board and corporate presentations. Maintain both electronic and physical filing systems for legal documents, Board of Director records, and special projects • Perform internal customer service role by answering team member requests and questions • Assist with special projects as needed • Support company operations by maintaining office systems, organizing office operations and procedures, controlling correspondence (including legal correspondence per DocuSign), and designing filing systems • Oversee office facilities and coordinate with building management for any necessary repairs, computer/printer needs, office supply inventory, etc and numerous other duties.
QUALIFICATIONS: ● Bachelor's Degree and minimum 5 years' administrative support with at least 2 years supporting senior-level executives ● Experience in the pharmaceutical or biotechnology industry is a plus ● Proficient with MS Outlook/Office and online productivity & communication tools ● Extensive experience with time management tools (calendars, meeting coordination, and conferencing) ●

Pay: $105,000.00 - $120,000.00 per year
