University Settlement is one of New York City's most dynamic social justice institutions, with an impressive legacy as the first settlement house in the nation. The Event Coordinator will be an integral member of the Individual Giving Team, helping to ensure we can reach our annual fundraising goals by supporting the development, planning, and execution of our calendar of events. We are looking for a skilled operations expert who is interested in events and the role fundraising plays in advancing USs mission. The Event Coordinator will join a diverse team of dynamic New Yorkers and will work closely with key internal stakeholders and external partners to produce high quality events that raise awareness of and funding for the organization.
Responsibilities
Provide core support for the development, planning and execution of our annual gala
Oversee the project management timeline and collaborate with event leadership to ensure all internal and external deadlines are met and outreach is coordinated and aligned.
Serve as the point of contact and project manager for vendors, performers and other participants, volunteers, and staff who have roles in supporting the events success.
Track all ticket sales, donations and sponsorships to ensure up-to-date fundraising totals and accurate reporting.
Track all event expenses, vendor contracts and payments, and ensure quality data collection of participants and event details.
Procure event essentials, including decorations and supplies for the gala via thorough product research.
Support the Director of Individual Giving with fundraising materials including sponsorship packages, mailing invitations, donor requests, ticket sale forms, and other materials as needed.
Collaborate with the Communications team to ensure the successful delivery of all event collateral, including invitations, video, and creative deliverables.
Organize day-of event logistics, including seating, partnership with the venue and run of show.
Work closely with key stakeholders including the CEO and Board of Directors to ensure their voice is represented.
Assist with post-event tasks such as thank you notes, feedback surveys, and analysis.
Support the planning and execution of smaller cultivation, stewardship, and various fundraising events, including the creation of project timelines, leading planning meetings, collaborating with external stakeholders and vendors, development of fundraising materials, and management of day-of logistics.
Design and execute meaningful volunteer experiences for corporate partners that positively impact the organization and push relationships forward with a goal of increasing funding.
Provide support as needed on site visits from donors, foundation representatives, Board members and prospects.
Collaborate with program and admin leadership to stay current on agency needs, create meaningful volunteer opportunities, and support the strategic direction of the event program as a fundraising arm of the organization.
Manage the Individual Giving Teams event budget.
Stay up to date with nonprofit event and fundraising trends to help ensure University Settlement is working within the best practices, technologies, and strategies.
Commit to University Settlements mission, and integrate values of equity, diversity and inclusion into all aspects of the work and our events.
Qualifications
3+ years of relevant experience, for example, events management, project management, nonprofit administration, operations, or fundraising.
Event or fundraising experience a plus.
Effective project manager with strong organizational skills to manage multiple deadlines and who appreciates the importance of the details and their role in the bigger picture.
Excellent communicator who is comfortable liaising with various stakeholders, from donors to vendors to organizational leadership.
Savvy problem solver who takes initiative and can translate strategy into process and action.
Agile operator who isnt deterred by pivots or evolutions that are natural within the event space and is excited to work in a multi-faceted organization.
Competent computer operator who is totally comfortable utilizing Microsoft Suite, online resources, working with data, and learning new technologies.

Work Schedule: Full-time, Hybrid position - Monday - Friday, 9:00 am - 5:00 pm, 35 hours a week with occasional evenings for events
