The Human Resource Specialist is responsible for supporting the VP HR and the Sr. Director, Organizational Development in the execution of various projects, initiatives and functions that relate to the successful operation of the Human Resources Department. The Human Resource Specialist will be the gatekeeper of the ADP HRIS, coordinate the annual renewal process for Safer’s Corporate and Health and Welfare Insurance programs, serve as the 1st point of contact for new employees, participate in various aspects of the recruitment process, prepare analytic reports to management to support accurate forecasting of staffing needs, benefit costs, workers compensation claims, etc.
Essential Duties and Responsibilities:
Fully operationalize the ADP HRIS System and provide appropriate training to all employees to reduce the number of paper transactions
Utilize the ADP HRIS System to:
- Notify managers and employees of various employment milestones such as probationary period, 1-year anniversary, etc., to access benefits and facilitate performance management system.
- Prepare regular analytic reports to management relative to support accurate forecasting of staffing needs, benefit costs, workers compensation claims, etc. on a quarterly basis
Participate in recruitment efforts; participates new-employee orientations and exit interviewing.
Participate in the planning development and execution of all HR Team projects including Recruitment Events, All Staff Meetings, Employee Training, Onboarding, Open Enrollment and Performance Management
Assists in evaluation of reports, decisions, and results of department in relation to established goals. Recommends new approaches, policies, and procedures to effect continual improvements in efficiency of department and services performed
Prepare and complete, according to specification and within specified timeframes, Form 5500 and other required government filings, reports and applications required by law. Review and analyze changes to state and federal laws pertaining to benefits. Report changes to management in a timely manner.
Manage the annual renewal process for corporate insurance, including the completion of insurance applications, working with internal Subject Matter Experts regarding specialized coverages such as Cyber, Sexual Abuse, Crime , etc. to determine any changes in coverage based on the operational needs of the organization.
Serve as liaison between Workers Compensation Carrier Claims and Safety representatives and Safer Managers and employees regarding pending claims, return to work options, etc. to help reduce the cost of claims and bring employees back into the workplace as soon as practical. Conduct Quarterly Workers Compensation Audit
Collaborate with the Benefits Administrator and the Pivotal Staffing Services Project Manager regarding the timeliness of Injury Reports and develop regular reports to Senior Management regarding the success and areas that need improvement regarding safety practices
Collaborate with the Emergency Response Team to regularly update Emergency Response Plans and coordinate safety training sessions for managers and staff.
Required Knowledge, Skills and Abilities:
Computer proficiency and aptitude with the ability to utilize Office 365 Suite, and HRIS database applications.
Considerable knowledge of principles and practices of Human Resources administration
General knowledge of pertinent federal and state regulations, filing and compliance requirements both adopted and pending affecting employee benefit programs, including ERISA, COBRA, FMLA, ADA, SECTION 125, Workers Compensation, Medicare, Social Security and DOL requirements
Effective oral and written communication skills
Ability to work effectively in a team environment with associates.
Ability to effectively plan and set priorities.
Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
Strong analytical skills and a basic knowledge of plan designs.
Excellent interpersonal skills
Education and Experience:
A bachelor's degree and three (3) to five (5) years of Human Resources experience, or Seven (7) years of experience in the HR field, any similar combination of education and experience.
