50 Floor, Inc. is looking for a team-oriented Administrative Assistant to support our Nashville office. The position will support the General Manager, headquarters departments, co-workers, and contractors through a variety of tasks related to organization and communication. The role will include all general administrative duties as well as facilitating order and payment processing to Accounting at our headquarters office. The right fit for this position will enjoy a variety of tasks, be motivated by being a key support, enjoy helping others, and have the ability to complete high quality, accurate work in a timely manner.
Administer and support branch with all clerical tasks, including answering and routing calls correctly using multi-line phone system, scanning/copying/faxing, and data entry
Calculate contractor payment amounts and forward orders and supporting documentation timely to corporate office to initiate payment processing
Review documents for accuracy prior to submittal for payment; reconcile payments processed amounts against orders to ensure accuracy prior to issuing
Process customer payments/returns and bank deposits in accounting software
Collaborate with ordering department to ensure customer orders are processed timely and follow up on discrepancies or issues
Generate internal reports and research reports against data and investigate discrepancies
Order office and warehouse supplies as well as sales samples from vendors
Maintain accurate customer records and organized filing system for branch
Review and ensure accuracy of information from contractors and to corporate office
Build cross-functional relationships with key partners in other departments, locations, and corporate office
Contact customers to assist customer service and service scheduling teams as needed
Handle special projects or tasks as assigned by management
High School Diploma, GED or equivalent; college coursework preferred
2+ years of administrative support experience
1+ years of experience with A/P, A/R and/or payment processing desired
Experience with Accounting software preferred
Spanish fluency preferred, but not required
Team and customer service oriented approach
Knowledge of office management systems and procedures
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills
Good math skills
Proficiency in MS Office
