This position is responsible for assisting the Advancement System Manager in data support including daily gift processing and receipting, entering constituent information, and data distributions and reports. The position also provides assistance in training employees on internal systems, composing acknowledgement letters and donor research as needed.
GIFT AND DATA ENTRY:
Process daily gifts, as well as prepare corresponding gift receipts.
Work with payroll and human resource departments for payroll deduction gift entry and various constituent data reports and entry.
Input prospect and donor biographic and demographic data for development office use.
Feed data to accounting, balance daily batches to finance system, prepare deposit tickets, and keep appropriate backup and records for department use.
Import data from other college systems into the Advancement system (e.g. payroll contributions).
Assist in implementation of any 3rd party systems in support of Advancement operations.
Provide support to campus development staff and other users on daily operations of the development office including prospect entry, gift processing, pledge management, and other Advancement systems assistance.
Conduct end-user verification and testing to ensure data accuracy, consistency and correct data entry or changes that need made to the advancement systems.
Coordinate periodic, structured cleansing of outdated constituent contact information.
DATA DISTRIBUTION, REPORTING AND TRAINING:
Assist in preparing database downloads and reports for development office activities.
Create dashboards in advancement system for Foundation and development team to aid in tracking fundraising progress and given metrics.
Work with finance staff to disseminate reports and data downloads such as pledge reports.
Pull reports to help in reconcile gift entries.
Assist in preparation of training materials and training of internal Advancement systems.
Provide assistance in the development of policies and procedures and maintain the departmental intranet site for all policies, procedures, and training documents.
Assist development office staff to enhance data on donors and prospects, giving and metrics
Assist with processes for prospect and moves management reports to both internal and at campus level.
Compose acknowledgement letters and other necessary correspondence as needed.
Provide key donor research as requested.
Provide administrative support for the team as needed.
Other duties logically associated with the position may be assigned.
High School diploma or GED with equivalent combination training and experience..
Experience with windows-based productivity software packages such as Word, Excel, PowerPoint and Access.
Ability to work with distributed software packages with multiple users.
Strong written and verbal communication skills.
Maintain confidentiality with constituent information, financial transactions and reports.
Provide outstanding customer service in a changing environment, working without supervision, taking initiative as well as incredible interpersonal skills.
Ability and willingness to travel.
Experience supporting Client Relationship Management (CRM) database, finance or comparable systems from a functional or technical role.
$36,000 - $40,000 annually
